Hospital Payroll and Scheduling Specialist

The incumbent will handle payroll reporting and scheduling for nursing departments, following the organization’s payroll practices and federal and state timekeeping laws. The role does not involve direct patient care. Corporate Overview The University of Utah is a Level 1 Trauma Center, nationally ranked for research, quality standards, and overall patient experience. It operates five hospitals and eleven clinics delivering comprehensive services. Responsibilities Handle confidential timekeeping data for staff and organizational use. Train and support staff and managers on scheduler use, time clocks, roster documentation, and exception submission procedures. Reconcile daily schedule changes and time‐card data entry, preparing cards for final payroll close. Manage initial schedule posting for multiple nursing units and align staffing with budgeted utilization grids and skill matrices. Collaborate with Nursing Leadership and Centralized Staffing Office for daily staffing, schedule validation, labor efficiency, and accuracy. Collect and validate time‐card exception documentation, notify managers and employees of discrepancies. Enter Kronos data, applying unit transfers and pay codes. Reconcile productive and non‑productive hours for nursing finance and post labor dollars at departmental level. Assign pay codes to employees with multiple jobs or rates of pay. Research and resolve system or staff issues with operations, Campus payroll, and Human Resources. Maintain communication with Payroll office and Human Resources to resolve pay issues. Identify and report non‑compliance with pay and scheduling practices to leadership, Payroll, and Human Resources. Serve as liaison for Human Resources on employee leave cases (FMLA, Military, Paid administrative leave) and pay code application. Prepare time‑card approval reports, retroactive pay reports, and schedule reports for managers and nursing directors. Participate in departmental internal audits to ensure proper system utilization. Resolve payroll discrepancies including under‑payments, over‑payments, or incorrect code or account assignments. Process retroactive payments and ESL/PTO adjustments, coordinating signatures with employees and managers before final processing. Process additional compensation requests and obtain necessary signatures for main payroll processing. Review and reconcile weekly account charges. Review and reconcile departmental labor reports, performing reallocations for nursing units as requested. Knowledge / Skills / Abilities Ability to perform the essential functions outlined above. Professional collaboration skills with all organizational levels. Knowledge of Kronos timekeeping, scheduling, and reporting. Advanced proficiency with worksheets and data analysis. Understanding of basic accounting and financial principles. Ability to use multiple computer screens simultaneously. Qualifications Required Associate’s degree or equivalency. One year of experience in Kronos scheduling and payroll or equivalency. Preferred Experience in a hospital or clinical setting. Working Conditions and Physical Demands sedentary position that may exert up to 10 pounds and involve lifting, carrying, pushing, pulling, or moving objects; mostly sitting, with no exposure to adverse environmental conditions.
