Senior Research Administrator

Trillium Professional is now seeking a Senior Research Administrator for a full-time, Direct Hire opportunity! This is a hybrid position with Mondays and Wednesdays onsite, additional onsite presence may occasionally be required. Annual salary is$89,000-$101,100 annually. A leading healthcare and research organization in Boston is seeking a Senior Research Administrator to support its Department of Medical Oncology, including the Divisions of Molecular and Cellular Oncology and Solid Tumors. The Senior Research Administrator will independently manage complex research portfolios for multiple laboratories and, when applicable, disease centers. This individual will oversee a diverse range of funding sources, including federal, industry, foundation, donor, institutional, chargeback, and clinical trial funding. The Senior Research Administrator will work closely with faculty and researchers on sponsored research applications, financial management, compliance, and strategic planning. This person will also serve as a senior resource within the department’s business office, provide guidance and mentorship to less-experienced colleagues, and lead training and educational initiatives. The position requires collaboration with central departments supporting research finance, accounts payable, research administration, special funds, grants and contracts, clinical trials, legal affairs, and innovation. Additional responsibilities include managing special projects, representing the department on committees and workgroups, and partnering with department leadership and faculty to establish strategy and resolve complex research administration matters. Key Responsibilities Grant Preparation and Pre-Award Administration -Manage all administrative components of sponsored research applications, excluding scientific content. -Review sponsor eligibility requirements and application guidelines. -Ensure investigators understand and comply with sponsor requirements. -Manage internal and external proposal deadlines in a deadline-driven environment. -Identify and research funding opportunities for investigators. -Draft non-scientific proposal materials. -Coordinate proposal materials with faculty and administrators from other departments and organizations. -Coordinate institutional review and approval through Grants and Contracts. -Support timely proposal submission to sponsors. -Prepare Just-in-Time information and respond to other pre-award requests. Portfolio Management and Post-Award Administration -Manage the financial administration of sponsored and institutional research portfolios. -Prepare financial and narrative reports for sponsors while meeting required deadlines. -Develop financial projections and project summary reports for investigators. -Monitor spending to ensure compliance with approved budgets, sponsor requirements, and organizational policies. -Invoice and monitor receivables related to clinical trial enrollment when applicable. -Establish billing agreements as needed. -Track milestones and receivables associated with industry-sponsored agreements. -Integrate multiple complex awards with varying funding sources and project periods. Procurement -Initiate and approve purchasing requests through purchase orders and purchasing cards. -Confirm funding availability and ensure expenses are allowable and correctly allocated. -Review and approve charges for core and center services. -Ensure purchasing activity is completed accurately and on time. Human Resources Administration -Conduct financial analyses to determine funding availability for new and existing positions. -Assist with the development of job descriptions and position postings. -Review and approve salary offers. -Process visa-related applications and payments when appropriate. -Support merit increases, equity adjustments, and promotional requests. -Manage salary allocations based on funding guidelines and availability. -Coordinate employee offboarding, including termination checklists and required documentation. Research Compliance -Partner with faculty and researchers to ensure compliance with internal and external policies. -Support material transfer agreements, data use agreements, and consulting agreement processes. -Advise faculty and researchers on financial conflicts of interest, foreign influence requirements, and other compliance matters. -Refer faculty and researchers to the appropriate organizational resources when needed. -Educate new researchers on applicable policies and requirements. -Manage the federal time-and-effort reporting process for applicable researchers. -Review time-and-effort records before routing them for certification. -Maintain current knowledge of NIH Grants Policy Statements, federal regulations, and organizational research policies. -Educate researchers on policy and regulatory updates. Cores, Centers, and Chargebacks -Assist with pricing development and annual pricing reviews. -Process monthly billing for internal and external customers. -Monitor funds to ensure revenue appropriately supports expenditures. -Help manage financial activity related to core facilities, research centers, and chargeback services. Leadership and Collaboration -Serve as a senior resource to research administration colleagues. -Provide guidance and mentorship to team members with less experience. -Lead or support training and educational initiatives. -Manage special projects and cross-departmental assignments. -Represent the department on organizational committees and workgroups. -Partner with department leadership and faculty on research administration strategy. -Independently identify, discuss, and resolve complex issues. -Build productive relationships with faculty, research staff, departmental teams, and central research administration offices. Required Qualifications -Bachelor’s degree preferred. -Minimum of five years of relevant research administration, grants management, or sponsored research experience. -Strong experience managing complex research portfolios. -Demonstrated knowledge of pre-award and post-award grant administration. -Experience working with federal, foundation, industry, institutional, donor, chargeback, or clinical trial funding. -Strong knowledge of NIH and other federal, state, and foundation regulations. -Experience developing budgets, financial projections, and award reports. -Ability to interpret and apply complex policies, procedures, and sponsor requirements. -Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously. -Excellent written and verbal communication skills. -Advanced problem-solving and critical-thinking abilities. -Demonstrated ability to work independently and exercise sound judgment. -Ability to collaborate effectively with faculty, researchers, departmental leadership, and central administrative teams. -Ability to work onsite in Boston every Monday and Wednesday. -A stable employment history is strongly preferred. Technical Skills -Advanced computer literacy and the ability to learn new applications and software programs. -Advanced proficiency with Microsoft Excel or Google Sheets preferred. -Experience maintaining organized electronic files, documentation, and email records. -Ability to analyze complex grant and financial data accurately.
