MARKETING Marketing/Admissions Coordinator JOB DESCRIPTION Universal Precautions Apply NAME: DATE OF HIRE: DEPARTMENT ASSIGNED: SUPERVISOR: SHIFT ASSIGNMENT: DUTY HOURS: PURPOSE OF YOUR JOB POSITION The primary purpose of your job position is to plan, organize, develop, and direct the overall operation of the facility's Marketing/Admissions initiatives in accordance with current Federal, State and local standards,guidelines and regulations, facility's established policies and procedures, and as may be directed by the Administrator. As such, the individual in this position is responsible for developing relationships with market area community, hospital, and physician referral sources that result in positive business development and census growth. DELEGATION OF AUTHORITY This position reports directly to the Administrator, however, as the Marketing/Admissions Coordinator, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties JOB FUNCTIONS Every effort has been made to keep your job description as complete as possible. MAJOR DUTIES AND RESPONSIBILITIES ADMINISTRATIVE FUNCTIONS Plan, develop, organize, implement, evaluate, and direct the Marketing/Admissions programs of this facility. Keep abreast of current federal and state regulations, as well as professional standards, and make recommendations on changes in the policies and procedures to the Administrator. Review department policies and procedures, at least annually, and participate in making recommended changes. Participate in development of Marketing/Business development strategies for the facility. Develop and maintain a reference library of all individuals or agencies capable of referring new admissions directly to the facility, to include hospitals, physicians, home health agencies, hospice groups, etc. Develop and maintain a reference library of marketing contacts in the primary and secondary market area, to include all Civic Organizations, when and where they meet and their leadership. Develop and implement policies and procedures for the identification of medically and financially appropriate admissions to the facility. Participate in community planning related to the interests of the facility and the services and needs of potential residents and family members. Specific Duties The Marketing/Admissions Coordinator id responsible for all public relations/special events, marketing and admissions screening for the facility. Duties in each area include: Public Relations/Special Events Participates in design and development of marketing and promotional materials for the facility in all formats that Include fliers, brochures, news releases, fact sheets, bios, newsletters and electronic media. Establishes relationships and maintains contact with reporters, advertising media representatives, and primary And secondary resources in the health care field. Establishes relationships and maintains contact with various civic clubs, organizations and Senior Citizen's groups. Recommends and implements initiatives that manage the target audience's perception of the facility. Coordinates special events for the facility and the community. Assists Department Directors and staff with the Promotion and coordination of any events they may need assistance with. Provides or coordinates presentations, speeches and public appearances internally or externally as needed. Marketing Participates in the development and coordination of a marketing strategy for resident and facility services, Census development and image enhancement (Strategic Marketing Plan) Maintains data on census (Inquiries, admissions, discharges, referral sources, census, payor mix, etc.) Maintains data on customer satisfaction to include resident/family, employee and physician satisfaction. Maintains file of all media coverage of the facility. Attends and participates in monthly Quality Assurance/Performance Improvement (QAPI) Committee meetings And provides reports as necessary. Is responsible for providing marketing services within budgeted guidelines. As part of the marketing strategy and back-up for inquiries when not available, the Marketing/Admissions Coordinator is responsible for developing a marketing team and plan to manage inquiries, tours and Admissions. Admissions Responsible for census development - both total and Medicare Part A Acts as a liaison between facility and family members during the pre-admission and admission process. Upon admission, refers family members to appropriate Department Directors, depending on specific need or concern. Manages all inquiries, tours and admission screenings. Works with the Director of Nursing and Business Office Manager to ensure all admissions are screened thoroughly Prior to admission. In conjunction with Social Services, ensures all admission paperwork and advanced directive discussions are completed with resident, responsible party, family member or POA upon admission. Provides any other job related services or duties, consistent with skills and abilities, as required by the Administrator. PERSONNEL FUNCTIONS Maintain an excellent working relationship with other department supervisors and coordinate Marketing/Admissions activities with their assistance. Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout the facility. STAFF DEVELOPMENT Assist support services in developing, implementing, and conducting in-service training programs that relate to the Marketing/Admissions process. Attend and participate in continuing educational programs designed to keep you abreast of changes in your profession, as well as to maintain your license on a current status. WORKING CONDITIONS Works in well-lighted and ventilated areas throughout the nursing service area (i.e., drug rooms, nurses' stations, resident rooms, etc.). Sits, stands, bends, lifts and moves intermittently during working hours. Is subject to frequent interruptions. Is involved with residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstances. Is subject to emotionally upset residents, family members, personnel, and visitors. Communicates with the medical staff, nursing personnel, and other department supervisors. Is willing to work beyond normal working hours, and in other positions temporarily, when necessary. Is subject to exposure to infectious waste, diseases, conditions, etc. ACKNOWLEDGEMENT I have read this job description and fully understand the requirements set forth within.
