Busy banquet hall in Bucks County looking for an assistant banquet manager. Must have banquet experience.

Assists Banquet Manager in promoting, pricing, planning, coordinating and supervising the execution of all special party, banquet and event functions both on and off-premise. Ensures that the client’s requirements and specifications are adhered to and that functions run smoothly, efficiently and profitably

Job Tasks

1.Solicit and promote special event business through marketing,

advertising, cold calling, contacting past clients, relationships

with local businesses networking and other cost effective

activities

2.    Develop and maintain updated and detailed price sheet of all billable products and services that accurately reflects today’s

costs and the company’s profit objectives

3.    Answers inquiries by phone or email in a timely manner

4.    Negotiates final pricing, prepares proposals & contracts and secures client signatures

5.    Collects deposits as required

6.    Documents final arrangements with clients on function sheet. Obtain all specifications and pertinent information concerning event, including but not limited to number attending, schedule of events and menu

7.    Diagrams buffet tables, guest tables and other function room set up needs for special events

8.    Regularly review upcoming event function sheets and have thorough understanding of upcoming scheduled events

9.    Hire, train, supervise and terminate special event staff

10. Ensures that all banquet staff are well groomed and in proper uniform

11. Holds pre-function meetings with staff to ensure smooth efficient service, assigns server stations and coordinates timing of courses

12. Assures proper inventory of all banquet service equipment and supplies to meet required needs

13. Prepare and post weekly schedules to ensure a sufficient number and appropriate skill levels of staff

14. Continue to develop staff in all areas of managerial and professional development

15  Prepare all required paperwork, including forms, reports and schedules in an organized and timely manner

16  Provide special event staff with a copy of each function sheet to gain a thorough understanding of event specifications prior to the function

17  Requisition or obtain equipment, supplies and entertainment needed for each event, ensuring they meet the client’s expectations and requirements

18  Inspect event room prior to start of function-check room set up, menu, service staff, etc. to assure conformity to function sheet

19  Greet clients prior to start of each function and be present throughout the event to assist where needed

20  Periodically check with client to ensure satisfaction and respond to any requests

21  Continually observe, direct and assist staff where necessary during the entire event. Ensure that all details as per the function sheet are performed

22  Prepare and complete an accurate bill for the client at the completion of the function when necessary and collect final payment. If another payment arrangement has been made, have terms noted on the bill

23  Direct and supervise breakdown and cleanup after the event. Account for all equipment and supplies. Return restaurant and event items to storage area. Return or arrange for return of rental items

24  Conducts post event evaluations to improve quality and efficiency of banquet functions

25  Handles client complaints

26  Reprimands employees as needed and maintains accurate written records of reprimands and attendance

27  Participate in scheduled staff and management meetings

28  Maintains ability for communication outside of working hours
