Preferred Automotive in beautiful Grand Haven, Michigan has an exciting opportunity to join our growing centralized Office team as an Automotive Dealership Office Assistant!

This position plays an important role in supporting several areas of our dealership operations, including our Buy Centers, vehicle deal accounting, and Finance product cancellations. We're looking for someone who is dependable, organized, comfortable working with numbers, and takes pride in accuracy and follow-through.

What You'll Do:

As a key member of our team, you'll be responsible for:

• Buy Center Administration - Process vehicles purchased through our Buy Centers, including stocking vehicles into inventory, reviewing purchase documentation, issuing payments to customers, processing lien payoffs to financial institutions, and ensuring all required paperwork is received and completed.
• Track outstanding titles, lien releases, payoff documentation, and other paperwork related to Buy Center vehicle purchases, following up as necessary to ensure each transaction is completed timely.
• Deal Accounting - Post accounting for new and used retail and lease vehicle deals, ensuring all financial information is recorded accurately and timely.
• Review deal documentation for completeness and identify and assist with resolving discrepancies before or during the posting process.
• Finance Product Cancellations - Process cancellations and refunds for service contracts, GAP, maintenance plans, and other Finance products.
• Submit cancellation requests to product providers and track outstanding cancellations through completion.
• Process applicable refunds to customers and/or lienholders and ensure credits and refunds are properly recorded.
• Monitor and reconcile job-related accounting schedules and research outstanding or aged items.
• Communicate with customers, banks, vendors, dealership managers, and other departments to resolve missing documentation or discrepancies.
• Ensure processing deadlines are met and transactions are completed accurately.
• Assist with month-end closing activities and accounting schedule cleanup as needed.
• Maintain organized and accurate electronic and physical records.
• Cross-train in other dealership office functions to assist with coverage and support the team.
• Various other accounting and administrative duties as assigned.

What We're Looking For:

• Dealership accounting or automotive office experience preferred.
• Prior experience with vehicle accounting, inventory, titles, or F&I products is a plus.
• Prior experience with Dealertrack DMS software preferred.
• Strong organizational skills and exceptional attention to detail.
• Strong communication, interpersonal, and problem-solving skills.
• Ability to manage multiple responsibilities and follow tasks through to completion.
• Comfortable working with numbers, financial transactions, and accounting records.
• Proficiency in using computer systems, including Microsoft Office.
• A proactive and results-oriented attitude.
• The ability to work independently while also being a strong team player.
• Dependable attendance and the ability to meet deadlines in a fast-paced environment.
