Accounts Payable Manager

Position Summary

The Accounts Payable Manager is responsible for overseeing the day-to-day operations of the Accounts Payable function, ensuring accurate, timely, and compliant processing of financial transactions. This role provides leadership to the AP team, maintains effective internal controls, supports financial close and reporting activities, and partners with Accounting, Finance, and other departments to improve processes and operational efficiency.

The ideal candidate will bring strong technical accounting knowledge, experience managing high-volume accounts payable operations, and a demonstrated ability to lead teams, strengthen processes, and implement technology-driven improvements.

Essential Functions

• Lead the daily operations of the Accounts Payable function and ensure timely, accurate, and compliant processing of financial transactions.
• Establish and maintain strong internal controls related to accounts payable, vendor management, payment processing, and related financial activities.
• Oversee the processing of vendor invoices, employee expense reimbursements, recurring expenses, and other contractual obligations.
• Monitor accounts payable aging and collaborate with Accounting leadership regarding payment timing, cash management, and vendor relationships.
• Review payment runs, ACH transactions, wire transfers, checks, and other disbursements prior to final approval.
• Oversee vendor onboarding and maintenance of accurate vendor master data, including appropriate tax documentation.
• Manage annual 1099 reporting processes, including vendor classification, payment tracking, documentation, and timely filing.
• Ensure compliance with applicable tax reporting requirements, including collection and validation of Form W-9 and taxpayer identification information.
• Coordinate recurring contractual and facility-related payments and resolve discrepancies with internal stakeholders and external vendors.
• Monitor critical payment dates and contractual obligations to ensure timely compliance and minimize penalties or service disruptions.
• Support month-end, quarter-end, and year-end close activities, including journal entries, account reconciliations, accruals, prepaid schedules, and supporting documentation.
• Review assigned balance sheet accounts and ensure transactions are accurately recorded in accordance with accounting policies and procedures.
• Partner with Accounting and Finance teams to ensure appropriate expense coding and accounting treatment.
• Provide accurate payment information and supporting documentation for financial reporting, audits, and other financial activities.
• Assist with the preparation of audit schedules and other financial documentation as needed.
• Monitor and mitigate fraud risks associated with vendor onboarding, invoice processing, and payment activities.
• Identify and implement opportunities to improve AP processes through automation, standardization, and technology.
• Lead or support AP system implementations, upgrades, workflow enhancements, and other process improvement initiatives.
• Develop, maintain, and enforce AP policies, procedures, standard operating procedures, and related documentation.
• Monitor key performance indicators and implement improvements to increase efficiency, accuracy, and service quality.
• Supervise, mentor, and develop AP staff by establishing performance expectations and providing ongoing coaching and feedback.
• Build strong working relationships with internal departments, vendors, and other external stakeholders.
• Communicate clearly, professionally, and effectively with individuals at all levels of the organization.
• Maintain a high level of accuracy and attention to detail while meeting established quality and performance standards.
• Manage multiple priorities, projects, and deadlines in a fast-paced environment.

Minimum Qualifications

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• 5–8+ years of progressive accounts payable or accounting experience.
• 2–3+ years of supervisory or management experience.
• Experience overseeing high-volume accounts payable operations.
• Strong knowledge of accounts payable processes, internal controls, and accounting principles.
• Experience with vendor management, payment processing, and 1099 reporting.
• Working knowledge of Form 1099 reporting, W-9 administration, taxpayer identification requirements, and related vendor tax compliance.
• Experience supporting month-end and year-end close processes, including journal entries, reconciliations, accruals, and prepaid expenses.
• Experience working with ERP and accounting systems.
• Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
• Experience identifying and implementing process improvements, system enhancements, and automation initiatives.
• Strong analytical, problem-solving, organizational, communication, and interpersonal skills.
• Ability to manage multiple priorities and deadlines while maintaining accuracy and attention to detail.
• Ability to establish effective working relationships and communicate professionally with internal and external stakeholders.

• Experience in a multi-location or multi-entity organization.
• Experience supporting a high-volume or complex AP environment.
• Experience with AP automation, invoice workflow, or other financial technology solutions.
• Experience with lease-related payments or other recurring contractual obligations.
• Experience working in a growth-oriented organization or environment undergoing process and systems improvements.
