We are looking for a Surgery Case Manager and scheduler who will be mainly responsible for all aspects of the surgery process including pre-authorizations, pre-operative certifications, scheduling, and patient education and all related post-operative tasks. The manager will have at least 5 years of experience in surgery scheduling, surgical and clinical authorizations for the practice. Other responsibilities include but are not limited to managing durable medical equipment, IMEs, and working with closely with billing and collections.

**Compensation commensurate with experience.**

Duties and Responsibilities

Authorizations

• Oversee and obtain surgery authorizations.
• Responsible for monitoring the authorization process.
• Contact insurance companies regarding pre-certifications.
• Responsible for submitting all documentation required to third party payors in advance of the surgery.
• Oversee and obtain authorizations for clinical testing and diagnostic studies.
• Provide information to surgeons and billing with regards to authorization, denials, or appeals.
• Responsible for scheduling peer-to-peer discussions.

Scheduling

• Responsible for booking all surgeries with outside facilities and managing all changes.
• Ensure that all procedures are entered into physician’s schedule in the computerized scheduling system.
• Ensure that physicians, patients, and other stakeholders, are promptly notified informed of any changes, problems or cancellations related to any surgery.
• Manage and monitor all required pre-operative clearance orders and ensure that all clearance documentation is received and reviewed by the provider prior to surgery.
• Communicate with patients either in person or by phone, to provide all the necessary pre-operative information and instructions in a clear and timely manner.
• Prepare surgical paperwork promptly, and ensure paperwork is submitted to appropriate individuals and institutions as required.
• Provide weekly/daily confirmations and notifications of upcoming surgeries and block time releases.
• Monitors schedule for any conflicts with other surgeries, travel schedules, or with the clinic schedule.
• Coordinate with other specialty surgeons for joint or co-surgeries.
• Obtain operative reports from the facilities and distribute.
• Send post-op paperwork to Billing and Coding departments.

Independent Medical Evaluations (IME)

• Schedule and manage Independent Medical Evaluations.
• Communicate with the Industrial Commission of Arizona, Workers Compensation Nurse Case Managers, and other companies coordinating Independent Medical Evaluations (IME).

Other

• Coordinate and schedule meetings or presentations with any medical product vendors as directed by physician.
• Maintains knowledge of all areas of the practice and its functions.
• All other duties necessary for maintaining or improving patient care

Skills

• Medical office experience and knowledge of the health care industry is required.
• Must have experience working in a customer service environment and in a ‘team focused’ work environment.
• Must have excellent communication and organizational skills.
• Must be able to communicate with patients, providers, and third-party payers.
• Strong computer skills are required, including proficiency in the Microsoft suite of applications (MS Outlook, MS Word, MS Excel, etc).

This position is also required to participate in vacation and illness coverage when the other practice staff is unavailable.
