What You'll Be Doing
- Plan and execute corporate events end-to-end. Manage the full lifecycle of corporate and team member events: team-member appreciation events, holiday parties, corporate off-sites, and more from concept and scheduling through on-site execution.
- Manage within budget. Plan and deliver each event within a predetermined budget, tracking spend and making smart trade-offs to maximize impact without exceeding approved amounts.
- Coordinate vendors and contracts. Source, coordinate, and manage relationships with venues, caterers, rental and production companies, and other third-party vendors, overseeing contracts and deliverables.
- Coordinate logistics. Handle scheduling, purchasing, travel booking, permits, staffing, setup, AV, and day-of coordination so that every event runs smoothly.
- Partner on brand and social content. Collaborate with Marketing Department to develop event branding, promotional materials, and social-media content that build awareness and engagement.
- Collaborate cross-functionally. Serve as the point of contact for corporate departments and onsite property teams, aligning events with company culture and community goals. Assists with other company defined goals and projects as needed.
- Travel to support events. Travel approximately 15% to support events across properties and markets, including occasional evenings.
- Manage internal and external communications. Drive event communications on both fronts - collaborating with Brand & Communications Manager for internal communications (announcements, invitations, and updates) that build team member excitement and attendance, while managing external correspondence with vendors, venues, and partners to keep every details aligned and on schedule.
- Complete post-event reconciliation. Review invoices, reconcile expenses, document final costs, resolve outstanding vendor items, and provide a concise event recap.
- Guide resident events. Provide creative ideas, themes, and direction to onsite apartment managers, who execute resident and community events at the property level, while encouraging onsite teams to capture and share event content on social media.
- Manage neighborhood rewards programs. Oversee the neighborhood rewards program and educate onsite teams and residents on available benefits and participation.
- Support community partnerships. Develop and coordinate community volunteering opportunities and preferred-employer programs that strengthen local relationships.
- Develop community outreach plans. Create outreach and blitz-marketing plans that help communities increase local visibility, build relationships, and generate leasing opportunities.
Requirements
- Experience: 2–5 years of mid-size corporate event planning. Proven track record of planning and executing internal multi-site events end-to-end.
- Detail-Orientation & Organizational Skills: Exceptional attention to detail and organizational skills; able to juggle multiple events, timelines, and moving parts at once without letting anything slip.
- Project Management & Communication: Strong project-management instincts and excellent written and verbal communication to keep corporate teams, and external vendors aligned in a fast-paced environment.
- Stage Presence & Public Speaking: Confident, well-spoken, and comfortable hosting or emceeing - able to own the room and the mic, energize a crowd, and represent the brand with poise.
- Creative & Culture-Driven: A creative thinker and natural culture-builder who embodies the Valiant Spirit, brings fresh ideas to every event, and elevates the experience for residents and team members alike.
- Budget & Vendor Management: Ability to plan and deliver events within a set budget, tracking spend and adhering to approved amounts, plus experience coordinating and managing vendor relationships and contracts.
- Brand & Content Sense: An eye for brand-aligned event experiences and the ability to partner on promotional and social-media content.
- Flexibility & Travel: Comfortable traveling approximately 15% and working occasional evenings as events require.
