Ascension Global Staffing & Executive Search is partnering with a respected law firm to find an experienced, detail-oriented Billing Specialist for a part-time, fully remote role. The Billing Specialist will own the firm's billing cycle from time entry review through collections, working primarily in AbacusLaw. This is an ideal role for a seasoned legal billing professional who wants meaningful, steady work with a flexible schedule from home. You will work closely with attorneys and firm administration to make sure every invoice is accurate, timely, and compliant with client and trust accounting requirements.

Key Responsibilities

• Manage the full billing cycle in AbacusLaw, including time and expense entry review, pre-bill generation, final invoicing, and payment posting.
• Prepare and distribute pre-bills to attorneys for review, track edits and approvals, and finalize invoices on the firm's monthly billing schedule.
• Review time entries for accuracy, completeness, and compliance with client billing guidelines and engagement terms.
• Process and post client payments, adjustments, write-downs, and write-offs, and reconcile accounts receivable.
• Record trust (IOLTA) deposits and disbursements, apply retainers to invoices, and support monthly three-way trust reconciliation.
• Monitor aging reports, follow up on outstanding balances, and communicate professionally with clients about billing questions.
• Maintain billing rates, matter setup, and client billing information in AbacusLaw.
• Prepare billing, collections, and AR reports for attorneys and firm administration.
• Support e-billing submissions (LEDES format) and client portal uploads where required.
• Identify opportunities to improve billing accuracy, turnaround time, and collections.

Required Qualifications

• Hands-on experience with AbacusLaw , including its time entry, billing, and trust accounting functions. This is a must-have for the role.
• 3 or more years of legal billing experience in a law firm setting.
• Working knowledge of trust accounting principles and IOLTA rules.
• Strong attention to detail and a high degree of accuracy with numbers.
• Ability to work independently, meet monthly billing deadlines, and manage priorities without daily supervision.
• Clear, professional written and verbal communication with attorneys and clients.
• Proficiency in Microsoft Excel and Outlook.
• Absolute discretion with confidential client and financial information.

Preferred Qualifications

• Experience with LEDES e-billing and client billing portals.
• Familiarity with QuickBooks or another general ledger system that integrates with AbacusLaw.
• Experience supporting a small or midsize law firm.
• Bilingual in English and Spanish.

• A private, quiet workspace suitable for handling confidential client and financial information.
• Reliable high-speed internet and a current computer able to run AbacusLaw remotely.
• Availability during core weekday business hours, Eastern Time, with added flexibility around month-end billing.
• Comfort with secure remote access tools, video meetings, and firm communication platforms.
