We are seeking a highly organized and detail-oriented Shipping Specialist to manage shipment coordination, documentation, and customer communication. This is an office-based position responsible for overseeing outbound shipments, preparing required paperwork, and ensuring customers receive their orders on time.

The ideal candidate is proactive, communicative, and able to stay on top of production timelines to prevent shipping delays. Extensive training will be provided.

Key Responsibilities

• Prepare and process shipping documentation (commercial invoices, packing lists, bills of lading, export paperwork, etc.)
• Coordinate domestic and international shipments, working directly with DHL, FedEx, UPS, and LTL carriers
• Track shipments and proactively monitor delivery status
• Communicate with customers regarding shipment schedules, tracking information, and any delays
• Work closely with production to ensure orders are completed and shipped on time
• Maintain accurate shipping records and filing systems
• Assist with general administrative and filing duties within the office

Qualifications

• Previous shipping, logistics, administrative, or customer service experience preferred but not required
• Strong attention to detail and accuracy in paperwork
• Clear and professional written and verbal communication skills
• Strong organizational and time-management skills
• Ability to manage multiple tasks and meet deadlines
• Comfortable working in a fast-paced production environment
• Basic computer proficiency (Microsoft Outlook, Word, and Excel)
• Ability to work independently while also collaborating with production and office teams
• Willingness to learn shipping systems, documentation requirements, and carrier processes (extensive training provided)
