Overview
The primary responsibility of this position is to support the digitization effort in converting paper documents into images, performing image quality control and indexing different fields from the scanned documents. In this position, each individual will be cross-trained so that each team member can perform the entire life-cycle of digitization. In scanning, indexing, and editing, this ensures quality assurance. The successful candidate will be an independent self-motivated worker who can also work in a team environment and contribute to it. The candidate will be part of a team that maintains the production of data entry, scanning, preparing work for processing, and inputting data in a classified environment. This position requires extreme attention to detail and the ability to adjust to changing needs and priorities for work.
Essential Duties and Responsibilities:
- Record and maintain relevant data describing the received material, including the date of receipt, the number of physical items and the recipient name, the barcode / tracking number of the container and the number of the transmission sheet tracking.
- Review and prepare files and documents based on the requirements for conversion to include but not limited to: arranging records in date order, removing duplicate copies, removing staples and clipping multi-page documents.
- Determine which scanner will perform the operations properly depending on the type of document quality to be pictured.
- Perform and monitor all activities necessary for the scanning of documents
- Provide daily preventive (care and cleaning) maintenance of all scanning equipment as recommended by the manufacturer or as required
- Review the scanned document images electronically to check for accurate and complete scanning of all pages within the document. A 100% verification of each scanned page image shall be included in the review to determine the image quality. Document re-scanning will be required if the images scanned are considered poor quality.
- Perform hardcopy scanning, micro-forming, scanning, oversized scanning (e.g. maps, charts and drawings) and conversion / formatting of images.
- Deliver scanned pages and meet scanning targets and deadlines in electronic format.
- As required, lift boxes weighing up to 35 pounds.
- Must work 9 hours a day, covering time until 17:30pm.
Minimum Required Skills/Experience:
- It takes more than three (3) years of scanning experience to achieve the project's objectives
- In Quality Control and Indexing, heavy attention to detail is required
- Ability to use different equipment and tools for scanning and viewing to ensure accuracy and quality while meeting goals and requirements
- Ability to communicate effectively and clearly
- Effective interpersonal skills and ability as a team member to work well
- Must understand and be able to adhere to security requirements
- Exceptional skills for customer service
- Ability to work with minimal supervision or independence
- Ability to adapt to changing needs and priorities for work
- Extensive knowledge of using MS Office, the Internet, and other internal applications required to complete routine and moderately complex tasks
- Excellent computer software working knowledge to include search capabilities
Education and Qualifications Desired:
- 3+ years scanning/imaging or equivalent work experience
- Associates degree or higher preferred
- Knowledge of Microsoft Windows and Windows based applications to including MS Word, MS Excel and PDF
- Excellent oral and written communication skills are required
- Establishes and maintains effective working relationships coworkers
- Complete projects within tight deadlines and be accountable to project operations
