Our client is seeking a friendly, organized, and bilingual Front Desk Receptionist to serve as the first point of contact for employees, job seekers, vendors, and visitors. This position is ideal for someone with strong communication skills who is comfortable working in a busy office environment and handling multiple tasks throughout the day.


The Front Desk Receptionist will manage a high volume of office traffic and phone calls while providing administrative support to the HR team. The ideal candidate will be professional, dependable, detail-oriented, and comfortable using Microsoft Office programs, including Outlook, Excel, and Word.


Key Responsibilities

• Greet and assist employees, walk-in job seekers, vendors, and other visitors.
• Manage heavy front desk traffic in a professional and welcoming manner.
• Answer a high volume of incoming phone calls, transfer calls, and take accurate messages.
• Schedule and coordinate weekly interviews for HR team members.
• Perform data entry and maintain accurate records.
• Use Microsoft Outlook, Excel, and Word for daily administrative tasks.
• Prepare and send PPE deduction forms to staffing agencies when employees leave or are released from assignments.
• Maintain accurate inventory records of PPE that needs to be returned.
• Review weekly invoices to ensure proper credits are received for PPE deductions.
• Keep the reception area and surrounding work areas clean, organized, and professional.
• Provide administrative assistance and support to the HR team as needed.
• Communicate effectively with employees, candidates, vendors, and internal team members.
• Assist with other office and HR-related tasks as assigned.

Qualifications

• Bilingual communication skills required.
• Previous receptionist, administrative, customer service, or office experience preferred.
• Strong verbal and written communication skills.
• Professional and friendly demeanor.
• Basic computer skills and experience with Microsoft Outlook, Excel, and Word.
• Strong attention to detail and organizational skills.
• Ability to multitask and prioritize work in a busy office environment.
• Dependable, punctual, and able to work effectively with employees and visitors at all levels.
