Philanthropic Operations Associate

Starting Salary Range: $35.28/hr - $36.62/hr ($68,800 – 71,400 Annually)

Full-Time, Non-Exempt, Hourly

This is an in-office position for the first 100 days. Requires in-office work five (5) days per week (Monday - Friday).

Following the first 100 days, staff have the flexibility to work two (2) days remotely. Mandatory in-office workdays are Tuesdays & Wednesdays.

The Philanthropic Operations Associate is a member of the Office of Philanthropy, reporting to the Director of Philanthropic Operations, and plays a key role in providing responsive customer service and operational support to donors, funders, advisors, prospects, and grantees. Working closely with the Office of Philanthropy, Grants Management, Finance, Programs, and Accounting teams, this position supports donor and fund operations, manages the donor portal, coordinates grantmaking activities, maintains accurate database and electronic records, conducts donor and nonprofit research, and provides administrative and event support. The role requires strong organization, attention to detail, communication, customer service, and problem-solving skills while managing multiple priorities and serving as a first point of contact for constituent requests.

Key Responsibilities

• Serve as a primary point of contact for donors, funders, advisors, prospects, and grantees, responding to inquiries and providing timely support related to fund management, reporting, and grantmaking activities.
• Manage donor and fund operations, including new fund setup, donor welcome materials, donor portal access, password resets, and online grantmaking support.
• Manage the Donor Relations inbox and phone line, triaging requests and coordinating with internal teams to resolve donor and constituent needs.
• Maintain accurate donor and fund information in Raiser’s Edge/Blackbaud, including relationships, communications, biographical information, philanthropic preferences, and team activity.
• Provide administrative and operational support, including scheduling meetings, preparing correspondence, processing invoices and check requests, maintaining files, coordinating travel, and assisting with events.
• Conduct research on prospective donors, advisors, nonprofits, and issue areas, including reviewing nonprofit programs and Form 990s and preparing summaries for donor presentations.
• Coordinate events and mailings, including invitation and RSVP lists, registration, name tags, collateral materials, onsite support, mailing lists, quarterly statements, and coordination with external mail houses.
• Collaborate with Grants Management, Finance, Programs, Impact, Marketing and Communications, and other internal teams to ensure effective and responsive service to CCF constituents.
• Identify opportunities to improve operational processes, database management, record keeping, and workflows to better serve donors, funders, advisors, and nonprofit partners.
• Serve as a collaborative member of the Office of Philanthropy, supporting departmental goals, maintaining high customer-service standards, and assisting with other organizational priorities as needed.

Qualifications

• Bachelor’s degree required.
• Minimum of four years of related professional experience, including at least three years of database and donor-services experience.
• Minimum of three years of experience with Blackbaud software, with the ability and willingness to learn additional database, spreadsheet, and technology systems.
• Strong computer proficiency, including Microsoft Office and database applications.
• Excellent organizational skills and attention to detail, with the ability to prioritize multiple demands and follow assignments through to completion.
• Excellent interpersonal, verbal, and written communication skills, with strong customer-service experience.
• Strong critical-thinking and problem-solving skills, including the ability to independently assess, compile, analyze, and communicate information and identify opportunities to improve systems and processes.
• Knowledge of the Los Angeles County nonprofit community, government agencies, elected officials, civic leadership, and diverse community constituencies.
• Strong knowledge of grantmaking processes and the Los Angeles County nonprofit community.
• Ability to work independently and collaboratively, take initiative, and effectively manage competing priorities.

• Strong knowledge of grantmaking processes and the nonprofit community in Los Angeles County.
• Ability to conduct research, evaluate information, and effectively summarize findings for donors, advisors, and internal stakeholders.
• Ability to work effectively both independently and as part of a cross-functional team, taking initiative and following assignments through to completion.
• Demonstrated ability to manage multiple projects and responsibilities while maintaining accuracy, timely follow-through, and high standards of customer service
