Senior Administrative AssistantJoin DCI Engineers in our Missoula, MT office as a Senior Administrative Assistant and play a key role in keeping our office, project teams, and day-to-day operations running smoothly. While this in-office position is based in Missoula, it also provides administrative support to our Helena, Kalispell, and Hamilton satellite office(s), helping ensure consistent operations and collaboration across our locations. From welcoming visitors and coordinating vendors to supporting project administration, finance, onboarding, and office events, you'll contribute to a collaborative and dynamic team.What You'll Do:As a Senior Administrative Assistant, you will provide essential support to ensure the smooth operation of the office and assist project teams:Perform front office reception duties, maintain office contact information, and open and close the officeOrder and manage office and breakroom supplies, maintain common areas, coordinate with office vendors, and oversee mail and deliveriesCoordinate onboarding and offboarding logistics with People & Culture and ITSupport office compliance and safety, including serving as the office safety coordinatorSubmit invoices, reconcile credit card statements, process expense reports, and assist with accounts receivable tracking and collectionsSet up and maintain project information in Vantagepoint, process contracts, organize project files, and support Construction Administration and quality control trackingMaintain office calendars, coordinate travel and meeting logistics, register staff for industry events, and assist with professional license applications and renewalsPlan and support internal, community-building, learning, volunteer, and client-facing eventsPartner with the office Managing Principal and Regional Administrative Manager on local and regional priorities, and perform other duties as assignedWhat You Bring:To succeed as a Senior Administrative Assistant, you should bring the following skills and abilities:Excellent writing, editing, and communication skillsAbility to anticipate office needs, resolve problems, and prioritize independentlyAdaptable to new software; proficient in Microsoft Excel, Word, and internet applicationsDetail-oriented with the ability to multi-task in a fast-paced environmentAbility to handle sensitive and confidential informationConstruction industry experience or knowledge is a plus, but not requiredWhy DCI EngineersAt DCI Engineers, how we work together is just as important as the work we produce.
