Associate, Design Program Coordinator

Location Designation: Hybrid – 3 days per week Role Overview We are looking for a detail-oriented and motivated Associate, Design Program Coordinator to support our Client Prospecting Digital Design team. In this role, you’ll provide essential project coordination and administrative support to help the design team stay organized and deliver high-quality work as we scale our delivery capabilities. You’ll assist design program managers, design leads and program managers across the value stream with scheduling, documentation, and team operations, gaining exposure to cross‑functional collaboration in a fast‑paced product development environment. This is an exciting opportunity to grow within design operations and program management, working alongside a team that’s shaping the future of New York Life’s consumer and agent/advisor experiences. What You’ll Do Provide coordination support for design projects, including scheduling meetings, maintaining calendars, project intake, and updating project trackers. Assist in keeping project documentation, timelines, and task lists up to date. Help prepare meeting agendas, capture notes, and follow up on action items. Support cross‑functional communication by sharing updates and reminders with design, product, and engineering partners. Assist in onboarding tasks such as setting up new team members with tools, documentation, and processes. Contribute to improving team organization by helping maintain shared resources, files, and operational documentation. Learn and apply design program management practices while supporting senior team members. What You’ll Bring Education: Bachelor’s degree in a relevant field (Marketing, Business, Design, Psychology, Communications, or related) or equivalent experience. 0‑2 years of professional experience in project coordination, operations, or administrative support (internships or academic projects count). Strong organizational skills and attention to detail. Clear written and verbal communication skills. Comfort with productivity tools such as Microsoft Office and familiarity (or willingness to learn) design/project tools like Figma, Jira, Asana, or Workfront. A collaborative attitude and eagerness to learn about design, user experience, and digital product development. Nice to Have Prior experience supporting creative, design, or technology teams. Familiarity with Agile/Scrum or other project management frameworks. Pay Transparency Salary Range: $70,000–$90,000 Overtime eligible: Exempt Discretionary bonus eligible: Yes Sales bonus eligible: No Actual base salary will be determined based on several factors but not limited to individual’s experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
