Project CoordinatorCrimson Brand Partners is a newly formed partnership with the University of Utah designed to modernize how the University continues to build its brand. Crimson Brand Partners will manage commercial operations across Utah Athletics and the broader university – including events at stadiums and arenas, branding, licensing, sponsorships, ticketing, and digital media.Job SummaryThe Project Coordinator supports the Marketing team by managing the intake and organization of all marketing projects in the project management system, coordinating team meetings, and handling select purchasing needs. This role keeps projects moving efficiently, maintains clear communication across teams, and ensures the Marketing department stays organized and on track.Key Responsibilities:Project Intake & System ManagementServe as the primary point of intake for all new marketing projects and requestsEnter, organize, and maintain projects in the project management system (Asana, Wrike, or similar)Ensure projects are properly scoped, tagged, prioritized, and assignedKeep project statuses, deadlines, and documentation up to dateMeeting CoordinationSchedule and coordinate recurring and ad-hoc marketing meetingsPrepare agendas, track action items, and distribute notes/follow-upsHelp keep meetings focused and productivePurchasing & Administrative SupportAssist with purchasing of marketing-related materials, tools, and servicesProcess purchase requests, track orders, and coordinate with vendors as neededMaintain basic records related to project expenses and vendor communicationsCross-Team SupportAct as a liaison between designers, digital, video, photo, social, and other stakeholdersHelp surface blockers early and escalate issues when neededSupport the broader Marketing team with light administrative and operational tasks as priorities shiftQualificationsRequired:1–3 years of experience in project coordination, marketing operations, or a similar administrative/coordination roleExperience working in a project management platform (Asana, Wrike, Monday.com, or similar)Strong organizational skills and attention to detailClear, professional written and verbal communicationAbility to manage multiple priorities in a fast-paced environmentComfortable coordinating across teams and following up on action itemsBasic understanding of marketing workflows and creative processes preferredPreferred:Experience in college athletics, sports, higher education, or agency environmentsFamiliarity with creative production processes (design, video, photo, social)Experience with basic purchasing or vendor coordinationBenefits and PerksCrimson Brand Partners offers a comprehensive benefits package that includes excellent medical, dental, and vision coverage; a 401(k) retirement plan with a generous 4% employer match; standard PTO (10 days of paid vacation annually); five paid sick days; 11 paid holidays; voluntary life, AD&D, and short- and long-term disability coverage; an Employee Assistance Program (EAP); and a variety of voluntary supplemental benefits, including accident, critical illness, hospital indemnity, and legal coverage.
