Program Manager - ACT, College Advising, or Tutoring

Position Summary
The Program Manager leads the planning, delivery, and evaluation of a portfolio of programs, which may include:

• ACT preparation and Boot Camps
• Alabama Virtual Institute (AVI) virtual programming
• Birmingham Summer Institute (BSI) programming
• College advising and application support
• Tutoring and academic intervention programs
• School and district partnerships

This role works independently and collaboratively to ensure high-quality program delivery, maintain strong partner
relationships, and manage program logistics and instructional teams. The Program Manager
ensures compliance with school contracts, leads data collection and reporting, and oversees
contractor timesheet processing.

Core Responsibilities

Program Implementation and Leadership

• Plan, coordinate, and oversee implementation of CAMP programs including ACT Boot Camps, advising workshops, tutoring programs, and virtual learning initiatives.
• Ensure program delivery aligns with contractual commitments, grant objectives, and organizational standards.
• Supervise program operations across multiple school sites or program locations.
• Manage program calendars, instructional schedules, and staffing needs.

Instructional Leadership

• Support the development and implementation of ACT preparation and college readiness curriculum.
• Provide coaching and guidance to instructors, advisors, and program staff.
• Ensure instructional quality and consistency across all program sites.

School and District Partnerships

• Serve as the primary relationship manager for assigned school and district partners.
• Maintain regular communication with school administrators, counselors, and teachers.
• Address operational challenges quickly and maintain strong partner satisfaction.

Staff and Contractor Management

• Recruit, train, supervise, and schedule instructors, tutors, and advisors.
• Review and approve contractor time sheets and program payroll documentation.
• Ensure contractors meet program expectations and performance standards.

Data Collection and Reporting

• Monitor student participation, attendance, and engagement.
• Collect and analyze pre- and post-assessment data, including ACT diagnostic results.
• Track program outcomes and progress toward performance targets.
• Contribute to monthly, quarterly, and annual program reports and dashboards.

Compliance and Documentation

• Ensure all programming adheres to school contracts, grant requirements, and organizational policies.
• Maintain accurate program documentation, attendance records, and program materials.
• Support leadership in preparing materials for funders, partners, and organizational reporting.

Operational Coordination

• Coordinate program logistics including materials, technology, travel, and site preparation.
• Ensure all program sessions are properly staffed and resourced.
• Escalate risks, operational issues, or partner concerns to leadership promptly.

• ACT score growth and academic outcomes
• Partner school satisfaction
• Program implementation fidelity
• Timely submission of reports and documentation
• Contractor management and compliance

Required Qualifications

• Bachelor's degree required; Master's degree preferred.
• Experience in education, college access programming, or youth development.
• Experience with ACT preparation, advising, tutoring, or academic intervention programs preferred.
• Strong organizational and project management skills.
• Ability to manage multiple sites, staff, and program timelines.
• Strong relationship-building and communication skills.
• Experience working with data and program reporting systems.

Preferred Qualifications

• Experience working with school districts or educational nonprofits.
• Familiarity with ACT testing and college admissions processes.
• Experience supervising contractors or instructional teams.
• Experience with program evaluation and student outcome tracking.

A formal evaluation will be conducted during or at the conclusion of the 90-day period to determine continued employment.
