Patient Care Coordinator — Boutique Medical Aesthetics Practice

Chino, CA (in-person, full-time)

We’re a fast-growing, boutique medical aesthetics practice looking for a Patient Care Coordinator to be the face of our practice. This is a small, personal, appointment-only setting — not a big-box spa — so we need someone who genuinely loves people, thrives in a fast-paced environment, and takes ownership without needing to be asked twice.

What you’ll do:

• Manage scheduling, confirmations, and client communications (text, phone, in-person)

• Warmly greet and check in every patient, creating a five-star first impression

• Learn our full menu of services, products, and brands well enough to confidently answer patient questions

• Proactively prebook follow-ups, suggest relevant add-ons, and encourage reviews

• Verify and process deposits, consent forms, and payments accurately

• Follow written protocols and systems independently after being trained

What we’re looking for:

• Warm, bubbly, genuinely people-first energy — this is non-negotiable

• Strong communicator, especially via text — clear, professional, and friendly

• Comfortable with basic math (packages, discounts, deposits)

• Driven and proactive — someone who looks for ways to help the business grow, not just complete tasks

• Eager to learn and retains information without needing constant reminders

• Reliable and committed — we’re looking for someone who wants to grow long-term with us, not a short-term stop

• Experience in aesthetics, medspa, dental, or a similar client-facing healthcare/beauty setting is a strong plus

• Personally curious about or experienced with aesthetic treatments is a bonus
