We are looking for an Office Coordinator to support daily office functions for a growing nutrition, health, and wellness company in West Los Angeles, California. This contract-to-permanent opportunity is ideal for someone who enjoys balancing front-office support, executive coordination, and administrative organization in a fast-moving onsite environment. The person in this role will help keep operations running smoothly by delivering excellent service, maintaining accurate records, and improving day-to-day workflow efficiency.
Responsibilities:
• Welcome visitors and oversee front desk activity, respond to incoming questions, and support office access and visitor check-in procedures.
• Maintain operational logs, trackers, and reports so teams have current information and organized documentation available when needed.
• Enter and monitor expense activity in QuickBooks to help ensure accurate reporting and reliable financial records.
• Support executive administration by coordinating calendars, arranging travel, organizing meetings, and preparing presentations and supporting materials.
• Handle sensitive employee and client files with discretion while keeping digital records structured, updated, and easy to retrieve.
• Process approved company purchases and business expenses using the corporate card, ensuring receipts and documentation align with internal guidelines.
• Assist with customer communication through phone and email while providing timely, attentive service and accurate follow-up.
• Contribute to process improvements that enhance efficiency across office operations and administrative workflows.
• Previous experience in hospitality, restaurant, service, office support, or administrative environments is preferred.• Strong ability to manage multiple priorities and stay organized in a busy, high-volume setting.
• Excellent written and verbal communication skills with a detail-oriented and approachable customer service style.
• Comfortable using business technology and office software, including Microsoft Excel, Outlook, Word, and PowerPoint.
• Experience with scheduling, email correspondence, data entry, and handling inbound and outbound calls.
• High attention to detail, dependable follow-through, and a proactive approach to problem-solving.
• Able to work onsite Monday through Friday with flexible core hours and a minimum of 30 hours per week.
