Medical Receptionist / Front Desk

Full-Time

Far Hills OB/GYN is seeking a dependable, friendly, and highly organized Medical Receptionist to join our team. This is a fast-paced front-office position that requires excellent customer service, strong communication skills, attention to detail, and the ability to manage multiple responsibilities throughout the day.

Our Medical Receptionists are an important connection between our patients, physicians, clinical staff, and business office. The ideal candidate will be comfortable working with phones, email, medical software, insurance information, scheduling, and patient paperwork while maintaining a professional and welcoming environment.

Key Responsibilities

• Answer and manage a high volume of incoming phone calls professionally and efficiently
• Respond to and route patient emails and electronic messages appropriately
• Greet patients and visitors and provide excellent customer service
• Check patients in and out accurately and efficiently
• Schedule, reschedule, and confirm appointments according to physician scheduling guidelines
• Enter and update patient information within our electronic medical record and practice management software
• Verify patient demographic and insurance information
• Review insurance information and identify when updated cards, referrals, or additional information may be needed
• Scan insurance cards, identification, medical records, and other documents into the patient's chart
• Collect copays, account balances, and other patient payments
• Prepare, review, scan, fax, email, and process patient paperwork and forms
• Monitor electronic messages and route clinical questions to the appropriate medical team member
• Communicate with physician offices, pharmacies, hospitals, insurance companies, and other healthcare organizations as needed
• Maintain accurate documentation of patient communications
• Assist patients with portal and general office questions
• Monitor physician schedules and communicate changes or concerns to the appropriate staff
• Protect patient privacy and maintain HIPAA compliance at all times
• Work closely with clinical, scheduling, and billing teams to resolve patient needs
• Complete general administrative duties and assist other departments when needed

What We’re Looking For

We are looking for someone who is comfortable switching between a phone call, computer system, patient standing at the front desk, email, insurance question, and paperwork—all while remaining professional and organized.

The ideal candidate will have:

• Excellent phone and customer service skills
• Strong computer skills and the ability to learn new software quickly
• Professional written communication and email skills
• Strong attention to detail and accuracy
• Ability to multitask and prioritize responsibilities
• Confidence working in a busy medical office environment
• Strong organizational and time-management skills
• Dependable attendance and punctuality
• Ability to communicate professionally with patients and coworkers
• A positive, team-oriented attitude
• Understanding of confidentiality and HIPAA requirements
• Previous medical office experience preferred
• Experience with insurance verification and medical scheduling preferred
• eClinicalWorks (eCW) experience is a plus

Schedule

Monday–Thursday: 8:00 a.m.–5:00 p.m.
Friday: 8:00 a.m.–3:00 p.m.
