Senior Clerk - 55003920

The work you will do:

Senior Clerk Facilities Management This position will provide office support. Through cooperation, coordination and collaboration among the OneFDOT team, you will be contributing to a strong and empowering culture of TRREC: Trust, Relationships, Respect, Empowerment, and Communication. FDOT encourages our team members to grow through engagement, empowerment, training, and professional development. Through our agency's learning management system, you have access to hundreds of computer-based training and instructor-led courses.

Your specific responsibilities:

  • Creates and processes correspondence and requests from staff and management.
  • Creates reports.
  • Reviews documents for accuracy and completeness.
  • Uses electronic mail, Word, Excel, SharePoint, Teams, FDOT Service Center Portal, and other computer systems/databases used by Facilities Management.
  • Uses standard office equipment.
  • Assists vendors and customers who call, e-mail, or visit the Facilities Management Office.
  • Reserves and coordinates meeting spaces for use by other FDOT districts, State of Florida entities, and other approved entities.
  • Receives incoming mail and processes outgoing mail for the work unit.
  • Collects, monitors, completes, and submits utilities costs information for the Department of Management Services Energy Report.
  • Maintains electronic and paper file systems.
  • Procures services, equipment, furniture, supplies, and utilities.
  • Obtains quotes as needed, prepares, and processes electronic procurement documentation and purchasing card charges in accordance with current policies, procedures, rules, statutes, and agency directions.
  • Vendor invoice/warrant processing is required to perform these duties.
  • Completes and submits SharePoint Purchase Requests and Information Resource Requests (IRRs) as needed.
  • Makes travel arrangements and processes travel requests and reimbursements.
  • Serves as primary backup for the Front Desk Receptionist.
  • This entails answering calls and assisting callers; greeting and assisting visitors; controlling access into the building; issuing visitor badges, directing visitors to meeting locations; maintaining accurate visitor logs and inventories of visitor badges; and following security procedures.
  • Serves as a Safety Coordinator.
  • Serves as backup to the District Seven Surplus Property Custodian.
  • Serves as backup for record keeping, tracking, storage, and retrieval, of records in Central Files.
  • Serves as backup for the Mail Center Clerk.

The successful candidate will have the following required knowledge, skills, and abilities:

Knowledge of: GENERAL OFFICE PROCEDURES AND PRACTICES CORRECT GRAMMAR USAGE BASIC ARITHMETIC

Skills in: USING ELECTRONIC MAIL, WORD, AND EXCEL PREPARING CORRESPONDENCE AND REPORTS ACCESS, INPUT, AND RETRIEVE INFORMATION FROM A COMPUTER DATABASE REVIEWING DATA FOR ACCURACY AND COMPLETENESS

Ability to: PLAN, ORGANIZE AND COORDINATE WORK ACTIVITIES DEVELOP AND IMPLEMENT OFFICE PROCEDURES FOLLOW ORAL AND WRITTEN INSTRUCTIONS PERFORM BASIC ARITHMETICAL CALCULATIONS COMMUNICATE EFFECTIVELY VERBALLY AND IN WRITING RESPOND TO TELEPHONE CALLS AND DEAL WITH CUSTOMERS IN A COURTEOUS AND EFFECTIVE MANNER ESTABLISH AND MAINTAIN EFFECTIVE WORKING RELATIONSHIPS WITH OTHERS

Minimum qualifications: A High School Diploma or Certificate of High School Equivalency
