Oncology Registry Manager

The Holden Comprehensive Cancer Center at the University of Iowa is seeking an Oncology Registry Manager who will manage the daily operations, re-accreditation, and overall administration of the Oncology Registry program for the Holden Comprehensive Cancer Center and Mission Cancer+ Blood. Operational and Financial Management Provide guidance on the policies and goals for the overall administration and direction of the HCCC and Mission Cancer+ Blood Oncology Registry. Initiate, write and edit reports for publication and distribution to the UIHC community, the American College of Surgeons Commission on Cancer (ACoS) and related accreditations, and for oncology registry data distribution. Oversee record reviews and corrections to registry data, verify quality requirements, and prepare documentation for ACoS and related committees. Prepare and submit the annual budget, manage program expenditures, and report on monthly unit of service metrics. Maintain the Rapid Quality Reporting System (RQRS) and related workflows to ensure effective management. Conduct abstracting as needed to maintain timely reporting. Maintain the Policy and Procedure Manual. Analyze registry data to ensure compliance with State Health Registry of Iowa (SHRI) requirements. Create specialized reports for physicians, administrative staff, and other stakeholders. Review pathology reports using CAS in CNExT, identify and validate cancer‑specific cases, and create or verify suspense abstracts. Determine appropriate information for updating oncology registry abstracts. Provide coding guidance for Collaborative Stage (CS) and surgical resections per Facility Oncology Registry Data Standards (FORDS) guidelines. Coordinate edits and transmission of data to the National Cancer Data Base (NCDB) Call for Data database. Serve as the CNExT database specialist, handling maintenance, technical issues, and liaison with Health Care Information Systems (HCIS). Develop custom databases for abstractors and follow‑up personnel to comply with evolving ACoS standards. Monitor and maintain all database aspects to ensure accurate, up-to-date data compilation. Manage weekly case transfers to SHRI via secure file transfer protocol (FTP). Update metafiles and data systems to maintain current standards. Coordinate enhancements to the Cancer Alert System (CAS) into CNExT. Strategic Planning Develop long‑ and short‑term program objectives and strategies, preparing strategic plans to support the program. Analyze workload and volume trends, forecast staffing needs, and determine personnel, technology, and infrastructure requirements. Communication and Outreach Prepare research requests, define data formats, and respond to inquiries from physicians, researchers, and other stakeholders. Provide feedback to abstractors regarding ACoS, AJCC, and SEER guidelines and data quality. Assist medical staff in generating customized oncology registry statistics for studies, publications, and reports. Deliver training and guidance to physicians and staff on AJCC TNM Cancer Staging and Collaborative Staging. Compliance Oversee physician review processes. Ensure timely, complete, and accurate submission of registry data to the NCDB and Rapid Cancer Reporting System (RCRS) per ACoS CoC requirements. Conduct quality‑control audits and analyze weekly and monthly case data, including Iowa/SEER and ACoS edits. Serve as Data Quality Control Coordinator on the HCCC Cancer Committee and Breast Health Steering Committee. Maintain a Quality Control plan in accordance with ACoS standards and other governing bodies. Manage follow‑up statistics to guarantee ACoS compliance with follow‑up standards. Quality Improvement Perform data quality control, analyze results, and coordinate follow‑up with staff. Design and implement efficiencies in case finding and documentation, including the EPIC to CNExT interface. Analyze data for quality improvement initiatives and develop new procedures to enhance data capture and reporting. Leadership and Supervision Conduct human‑resource functions: interviewing, selection, training, performance evaluations, salary determinations, position descriptions, and promotion procedures. Instruct staff and students on CNExT and other database systems, troubleshooting errors, and handling technical issues. Provide leadership and direction in abstracting and coding clarifications. Co‑ordinate daily activities of follow‑up staff, monitor project status, establish priorities, and assign tasks. SUPERVISION RECEIVED: Administrative and functional supervision by the HCCC Executive Service Line Administrator. SUPERVISION EXERCISED: Supervision over oncology registry staff. Employment Details Percent of Time: 100% Work Schedule: Monday – Friday, 8:00 a.m. – 5:00 p.m. Pay Grade: 5A Required Qualifications Master’s degree in Public Health or a related field, or an equivalent combination of education and experience. 3–5 years of experience as an Oncology Data Specialist, Registrar, or in related roles. Active Oncology Data Specialist (ODS) Certification. Proficiency with software applications, including EPIC, CNExT, and Microsoft Office Suite. Relevant experience in quality assurance. Demonstrated leadership skills. Excellent written, verbal, and interpersonal communication skills. Excellent organizational, multi‑tasking, and problem‑solving skills. Desired Qualifications Direct experience with Oncology program requirements for ACoS CoC, SEER, NCDB, AJCC TNM Cancer Staging, ICD‑9 & 10 codes, and SHRI.
