The Diaper Bank of North Carolina (DBNC) works to ensure that every family has access to essential hygiene products that support dignity, health, and quality of life. We are seeking a highly organized, hands-on, and relationship-focused Community Partner & Distribution Coordinator to manage product distribution from our Hillsborough warehouse while supporting the community partners that help us reach families across the Triangle.

Since our founding in 2013, we have distributed more than 30 million diapers, along with period products, adult incontinence supplies, and other hygiene essentials. Our innovative programs and dedicated team work every day to cover bottoms and distribute dignity across North Carolina.
Role Overview
The Community Partner & Distribution Coordinator is responsible for ensuring that community partner orders are accurate, complete, documented, and ready for pickup or delivery. Distribution coordination is the primary focus of this position , including preparing orders, coordinating inventory, managing partner pickups, supporting volunteers, receiving deliveries, and assisting with product deliveries.
The position also serves as an important point of contact for DBNC’s Triangle-area community partners. The coordinator will help partners navigate ordering and distribution processes, maintain accurate records, respond to questions, support annual renewals and check-ins, and communicate partner needs to the operations and program teams.
This is an active, in-person position that combines warehouse coordination, administrative accuracy, customer service, and community relationship management.
Key Responsibilities
1. Distribution Coordination and Order Fulfillment
- Assemble Partner Orders: Accurately pull, compile, and stage diaper and hygiene product orders according to allocation guidelines, partner needs, and monthly distribution schedules.
- Manage Distribution Schedules: Coordinate partner pickups and deliveries to ensure products are distributed efficiently and on time.
- Label and Document Orders: Ensure every order is labeled correctly, supported by the required documentation, and prepared for pickup or delivery.
- Perform Quality-Control Checks: Conduct final reviews to confirm that orders are complete, accurate, and consistent with DBNC standards.
- Maintain Accurate Records: Enter order and distribution information into internal systems for reporting, compliance, and inventory tracking.
- Manage Partner Pickups: Serve as the on-site contact for community partners picking up orders from the Hillsborough warehouse.
- Support Deliveries: Drive a DBNC van or box truck to deliver products when needed.
- Respond to Changing Needs: Work with operations and program staff to address product availability, scheduling changes, urgent requests, and other distribution challenges.
2. Inventory and Warehouse Coordination
- Monitor Inventory: Track inventory levels while preparing orders and promptly notify the appropriate supervisor of shortages, low-stock items, or overstock.
- Maintain Inventory Accuracy: Work with warehouse, operations, and program teams to ensure inventory records accurately reflect available products.
- Improve Inventory Systems: Help identify and implement procedures that strengthen inventory accuracy, order preparation, and warehouse efficiency.
- Receive Deliveries: Be available on-site to receive and document deliveries from wholesalers, vendors, donors, and other product sources.
- Support Warehouse Readiness: Help maintain a clean, safe, organized, and efficient warehouse environment.
- Assist with Physical Warehouse Needs: Participate in loading, unloading, moving, organizing, and staging products as required.
3. Volunteer Coordination and Support
- Project Volunteer Needs: Determine the number and type of volunteer shifts needed to support monthly distributions, working to project needs at least three months in advance.
- Coordinate with the Volunteer Team: Communicate upcoming warehouse and order-fulfillment needs so volunteer shifts can be scheduled appropriately.
- Lead Order-Preparation Activities: Provide volunteers with clear instructions and hands-on supervision while they pull, assemble, label, and stage partner orders.
- Support Volunteer Shifts: Assist with volunteer check-in, setup, cleanup, organization, and on-the-floor guidance as needed.
- Create a Positive Experience: Help ensure volunteers feel welcomed, supported, and connected to DBNC’s mission and impact.
4. Community Partner Support
- Serve as a Partner Contact: Provide responsive, warm, and solution-oriented support to Triangle-area community partners regarding orders, pickups, deliveries, and distribution procedures.
- Build Strong Relationships: Develop a clear understanding of each partner’s programs, populations served, and hygiene-product needs.
- Resolve Distribution Questions: Work with partners and internal teams to address order discrepancies, scheduling concerns, product availability, and other issues.
- Communicate Partner Needs: Share relevant partner feedback and emerging community needs with DBNC’s program, warehouse, and leadership teams.
- Support Partner Engagement: Help partners understand DBNC resources, requirements, allocation guidelines, and opportunities for deeper collaboration.
5. Partnership Administration and Impact Tracking
- Support Annual Check-Ins: Assist with annual partner meetings to review needs, agreements, distribution activity, and shared accomplishments.
- Coordinate Renewals: Help manage the timely renewal of partner applications and agreements.
- Support New Partner Inquiries: Assist with Letters of Interest and onboarding by collecting information, organizing materials, and helping prospective partners understand DBNC’s partnership process.
- Collect Outcome Information: Track partner outcome forms and other required data that demonstrate how access to hygiene products benefits families.
- Contribute to Impact Reporting: Maintain accurate data and provide partner stories, distribution information, and observations that support grant reports, funding proposals, and program improvements.
- Protect Data Quality: Review records for completeness, accuracy, and consistency across partner, order, and inventory systems.

Requirements
- Must be able to work in person at DBNC’s Hillsborough warehouse.
- Bachelor’s degree or at least three years of relevant experience in warehouse or distribution coordination, nonprofit programs, community engagement, logistics, inventory management, or a related field.
- Strong organizational, time-management, and recordkeeping skills.
- Experience working with community partners, customers, volunteers, or direct-service organizations.
- Comfort using databases, spreadsheets, and other digital systems to maintain accurate records.
- Ability to work independently while communicating and collaborating closely with a team.
- Valid driver’s license, safe driving record, and ability to meet DBNC’s vehicle-insurance requirements.
- Willingness and ability to drive a van or box truck when needed.
- Ability to safely lift, carry, move, and organize warehouse products weighing up to 50lbs, with or without reasonable accommodation.
- Flexibility to support occasional schedule changes, deliveries, or special distribution events.
- A deep commitment to DBNC’s mission and to treating partners, volunteers, coworkers, and community members with dignity and respect.
Preferred Qualifications
- Experience coordinating product distribution, inventory, warehouse operations, or order fulfillment.
- Experience supervising or supporting volunteers.
- Familiarity with nonprofit partnerships or human-service organizations.
- Experience collecting program data, tracking outcomes, or preparing impact reports.
- Knowledge of the Triangle region and its community-based organizations.
