Shipping & Receiving Assistant

** Applicants must be located in Massachusetts (MA) or Rhode Island (RI) and be able to work on-site in Walpole, MA.**

We are seeking a highly organized and detail-oriented Shipping & Receiving Assistant to support our administrative and warehouse operations team. This role is office-based and plays a critical part in ensuring the accuracy, tracking, and coordination of all inbound and outbound shipments.

You will work closely with both the warehouse and office teams to manage shipping documentation, receiving records, and system data entry. This position is ideal for someone who thrives in a structured, fast-paced environment and enjoys working with data, processes, and logistics coordination.

This role supports the aerospace and defense industry, where accuracy, compliance, and attention to detail are essential.

Key Responsibilities

Shipping Support

• Prepare and process outbound shipments (labels, documentation, and tracking)
• Coordinate with carriers (UPS, FedEx, DHL, freight providers)
• Ensure shipping instructions and customer requirements are followed accurately
• Maintain shipment tracking records and update internal systems

Receiving Support

• Log and record incoming shipments into the system
• Match deliveries to purchase orders and packing slips
• Identify and report discrepancies (wrong items, shortages, or damages)
• Notify warehouse staff of incoming priority or urgent materials

Administrative & Data Entry

• Enter and update shipping and receiving data in ERP/system software
• Maintain accurate digital records for all transactions
• Verify purchase orders, sales orders, and shipping documentation
• Support audit-ready documentation and compliance requirements

Coordination & Communication

• Work closely with warehouse staff to ensure smooth material flow
• Communicate shipping/receiving status updates to internal teams
• Escalate issues or delays when necessary
• Support special handling or customer-specific requirements

Qualifications

• Strong attention to detail and organizational skills
• Comfortable working with computers and data entry systems
• Ability to learn ERP systems (NetSuite or similar experience a plus)
• Strong communication and teamwork skills
• Ability to manage multiple tasks in a fast-paced environment
• Prior experience in shipping, logistics, or administrative support preferred

Preferred Experience

• Shipping and receiving or logistics coordination experience
• Experience with ERP systems (NetSuite, SAP, or similar)
• Familiarity with aerospace, defense, or regulated industries a plus
• Office administrative or data entry background
