Litigation Legal Assistant (Hybrid – Newark, NJ)

Location: Newark, NJ (Hybrid: On-site / Remote)

Reports To: Administrative Manager

Base Salary Range: $80,000 – $110,000 / year (plus comprehensive benefits)

About the Role

A premier, regional law firm is seeking an experienced Litigation Legal Assistant to support attorneys in a fast-paced environment. This role offers a blend of high-level litigation management, document production, technical legal support, and essential administrative coordination.

The ideal candidate brings a strong litigation background, exceptional attention to detail, and advanced technical proficiency with industry-standard legal applications.

Key Responsibilities

Litigation & Case Support

• Court Filings & Service: Prepare and submit electronic court filings across Federal, State, and Bankruptcy courts; coordinate formal service of process.
• Document Formatting & Production: Create and edit Tables of Authorities and Tables of Contents using Best Authority; construct hyperlinked briefs and PDFs utilizing Lexis, Westlaw, and Kofax Power PDF; execute document conversions and cleanup adhering to strict style guidelines.
• Document Comparison: Utilize Litera Compare / CompareDocs for advanced draft editing and redlining.
• Trial Preparation & Support: Organize exhibit lists, compile trial binders, coordinate logistics for court appearances, and perform light paralegal support including lien interactions and non-legal research.

Administrative & Operational Workflow

• Calendar & Communication: Monitor Outlook calendars, route incoming/outgoing communications, and maintain seamless administrative support.
• Timekeeping & Financials: Enter and edit daily attorney time entries in Intapp Time; assist with billing workflows (Intapp Billstream) and prepare monthly expense reports.
• General Office Coordination: Maintain digital and physical case files, handle travel and dining arrangements, notarize documents, and provide back-up support to team members during absences.

Qualifications & Competencies

• Experience: 5+ years of law firm litigation experience required.
• Education: High School Diploma required; Associate or Bachelor’s degree preferred.
• Notary Commission: Must hold a current Notary Public commission or obtain one within the first 6 months of employment.
• Technical Proficiency:
• • Document & Comparison Tools: Litera Compare / CompareDocs, Legal Numbering, BigHand Dictation, Kofax Power PDF, DocuSign.
  • Briefing & DMS: Best Authority, Lexis/Westlaw, iManage Document Management System.
  • Practice Management & Billing: Intapp Time, Intapp Billstream.
  • Core Applications: Microsoft 365 (Word, Excel, Outlook, Teams, Windows 10), Zoom.
• Professional Attributes: Proven ability to manage high-volume workloads under tight deadlines, strong communication skills, excellent problem-solving ability, and flexibility for occasional early/late hours as required by trial schedules.

Compensation & Benefits Package

• Base Salary: $80,000 – $110,000 / year (Non-Exempt) . Base annual salary depends on a wide array of factors, including skill set, depth of experience, and relevant certifications.
