Krahmer Law Firm, PLC, Krahmer Farms and Fred W. Krahmer (Jr.) of Fairmont, Minnesota, are seeking a highly organized, experienced, and people-oriented professional to serve as a legal assistant and executive assistant to Fred Krahmer. This is a full-time role for someone who can manage legal workflows, client communication, scheduling, billing, and some office administration while also coordinating related professional and business commitments.

Position Summary

The Legal and Executive Assistant will support Fred Krahmer in his role as a Minnesota attorney practicing in the areas of estate planning, probate, agricultural law, real estate and farm-related transactions, business formations, business transitions, and business ownership agreements. The position also includes the role of executive assistant to Fred Krahmer relating to his work as chair of a bank board and managing family agricultural businesses. The Legal and Executive Assistant will support Fred Krahmer in his role as a Minnesota attorney practicing in the areas of estate planning, probate, agricultural law, real estate and farm-related transactions, business formations, business transitions, and business ownership agreements. The position also includes the role of executive assistant to Fred Krahmer relating to his work as chair of a bank board and managing family agricultural businesses.

Primary Responsibilities Legal Practice Support
  • Assist with the administration of estate planning matters, including trusts, wills, and business transition planning for larger estates and businesses.
  • Assist with probate matters, including calendaring, document preparation support, client communication, and coordination with courts, fiduciaries, beneficiaries, and other professionals as directed.
  • Support agricultural law matters, including business formations, acquisitions, farm-related real estate transactions, and related client communications.
  • Support general business formation and ownership agreement matters, including organizing client information, preparing initial drafts from templates, tracking revisions, and coordinating signatures and closing details.
  • Prepare, edit, proofread, format, organize, and finalize correspondence, estate planning documents, transaction documents, client letters, and internal checklists for attorney review.
  • Maintain accurate physical and electronic client files, matter records, deadlines, task lists, and follow-up systems.
  • Communicate professionally with clients, financial institutions, accountants, county offices, real estate professionals, court personnel, family members, and other third parties.
Executive and Personal Assistant Support
  • Coordinate the calendar across the law practice, bank board responsibilities, and family agricultural business commitments.
  • Schedule and coordinate meetings involving clients, board members, business employees, family business contacts, and outside professionals.
  • Help manage competing demands on the attorney’s time, including communicating availability, setting boundaries, and professionally declining or rescheduling requested meeting times when necessary.
  • Assist with administrative coordination for related business commitments as assigned, while maintaining discretion and confidentiality.
Firm Administration and Operations
  • Manage calendaring, scheduling, deadline tracking, appointment confirmations, and meeting preparation.
  • Coordinate the operation of the firm’s billing system, including time entry support, invoicing, payment processing, deposits, and related recordkeeping.
  • Assist with general office administration including mail, phones, scanning, filing, supplies, record organization, and vendor coordination.
  • Help maintain smooth daily workflow by anticipating needs, prioritizing competing tasks, and following through on open items without constant supervision. 
Schedule

This is a full-time position, working on site in office, with occasional opportunities to work remotely. The law office is a combined family businesses office and law office and the office operates full business hours Monday through Thursday and is closed on Friday afternoons year-round. Regular work hours are 8 hours Monday through Thursday, with a lunch break, and Friday mornings until noon. Start time can be flexible, although earlier morning starts are preferred because the attorney’s most productive work time is early in the day, which allows for day-care pick-up flexibility.

Compensation

Compensation will be based on experience, qualifications, and demonstrated ability to manage both legal and executive assistant responsibilities. Position is salary based with a range of $45,000 to $55,000. Overtime is rare but may happen on special occasions and projects.

Requirements: Qualifications and Attributes
  • Prior experience or formal training as a legal assistant, paralegal, or comparable legal administrative professional is strongly preferred, especially experience in estate planning, probate and real estate transactions.
  • Strong knowledge of legal office procedures, legal terminology, document preparation, confidentiality obligations, and client file management.
  • Excellent organization, follow-through, proofreading, written communication, and verbal communication skills.
  • Strong interpersonal skills and the ability to work effectively with many different people, including clients, employees of family businesses, professionals, board contacts, and vendors.
  • Ability to multitask, assess priorities, manage interruptions, and remain calm and professional in a busy small-office environment.
  • Comfort using the Microsoft Office Suite of programs (Word, Excel, Power Point Teams), TimeSolv time tracking and billing software, Wealth Counsel document assembly program, ScanSnap scanning tools, and other office technology.
  • High degree of discretion, judgment, dependability, and respect for confidential legal, business, financial, and personal information.
  • Ability to work independently, take ownership of recurring processes, and anticipate what needs to be done next.
  • Minnesota notary certification is required and will be provided if needed.
