Location: Columbus, OH Job Id: 572 # of Openings: 1 Location : Columbus, OH Job Type : Full-time Schedule : 45–50 hours per week | Operations run 7 days per week Pay : $62,000–$72,000 annually About the Role The Senior Scheduling & Fleet Planning Coordinator is responsible for building, validating, and governing schedules for a large, multi-team workforce and fleet operating seven days a week. This role owns schedule accuracy and stability once released and plays a critical role in preventing avoidable disruptions to operations. This is not a reactive dispatcher role. It is a planning, control, and change-management position that requires experience, precision, and confidence enforcing standards in a fast-paced environment. Candidates who prefer reactive, last-minute problem solving without structured control will not be successful in this role. Key Responsibilities Scheduling & Planning Ownership: Build and finalize daily, weekly, and forward-looking schedules for crews, drivers, and equipment across a 7-day operation Ensure all schedules are complete, accurate, and fully validated prior to release Own the schedule lock process; post-release changes must be rare, documented, justified, and approved Eliminate duplicate assignments, incorrect equipment placement, and misaligned crew staffing Workforce Availability Management: Verify crew availability, approved PTO, medical appointments, and known conflicts before scheduling Maintain the single source of truth for personnel availability Ensure no crew member is scheduled without confirmed availability Enforce advance communication requirements with crews and Incident Commanders Fleet & Asset Planning: Confirm truck configuration, trailer readiness, and day cab vs. sleeper requirements before placement Prevent scheduling of unavailable, unverified, or non-operational assets Coordinate with fleet and operations teams to align assets with workload demand Anticipate downstream operational impacts before executing schedule changes Utilize pre-identified backup personnel based on skills and access levels Minimize cross-team reshuffling caused by call-offs or asset issues Support planning for jobs with specialized access requirements Audit, Governance & Documentation: Maintain a structured change log documenting what changed, why, when, and by whom Identify recurring issues and escalate proactively to leadership Support root cause corrective actions and follow-through Communication & Change Control: Communicate schedules and approved changes clearly and through designated channels Ensure all affected stakeholders are notified before shifts begin No undocumented or informal schedule swaps What We’re Looking For Exceptional attention to detail and accuracy Proven ability to manage complex schedules in a 7-day operation High energy, resilience, and comfort working in a role that requires firmness and tough conversations Strong planning, organization, and prioritization skills Confidence enforcing standards and managing change Clear and professional written and verbal communication Strong sense of ownership and accountability Experience & Qualifications Experience scheduling large crews, fleets, or multi-team operations Background in logistics, workforce planning, dispatch, or operations coordination Track record of reducing errors through structured planning and validation Strong proficiency with scheduling systems, spreadsheets, and operational tracking tools Ability to work extended hours as needed to support a 7-day operation Performance Expectations High first-pass schedule accuracy Effective containment of call-off and equipment-related disruptions Full compliance with availability and asset verification requirements Timely, clear, and accurate schedule communication Benefits Include Competitive salary, $62,000–$72,000 annually Health, dental and vision insurance with HSA option and company contribution 401(k) with company match Paid time off, sick time and holidays Employee Assistance Program About the Company Planes is a global company with local values.
