HRIS Coordinator

Overview The HRIS Coordinator plays a crucial role in supporting and optimizing our HRIS while assisting with related general HR-related administrative tasks. This position manages and maintains the integrity of employee data, ensuring accuracy and confidentiality, provides excellent customer service, assists with employee onboarding, and contributes to the overall efficiency of HR operations. We believe work should fit your life, not the other way around. Our hybrid schedule includes two days on site in our Albany office, with the flexibility to work remotely the remaining days. Core hours are 8:30 AM–5:00 PM, including a 1‑hour lunch, for a 37.5‑hour week. Responsibilities Administer and maintain the HRIS and employee files, ensuring compliance, data accuracy, privacy, and security. Assist employee onboarding processes, including completion and correction of data from Recruiting and system access for new hires. Provide support to employees and HR staff regarding HRIS functionality and data inquiries, demonstrating excellent customer service. Serve as the primary resource for system questions across UKG. Coordinate with IT on data flow issues to downstream systems such as SIS, Faculty Management, Watermark, and Canvas. Resolve employee access issues in UKG and with IT. Act as the primary administrator for UKG Document Manager, managing access and assisting with automated document creation campaigns. Assist HR users with UKG People Assist to archive and file employee requests. Upload resumes/transcripts to Faculty Management or Watermark for administrators to complete. Provide Canvas access in old SIS until decommissioned. React to Payroll Audit reports for missing employee information. Assist with annual Salary Review activities, including adding statements to employee files. Participate in HRIS system audits to ensure data integrity and compliance. Learn existing UKG reports and work toward creating new reports. Own quarterly HR dashboard reports. Utilize Microsoft Excel for data analysis, reporting, and administrative functions. Assist with updating directions related to HRIS tasks and projects. Contribute to the development and implementation of HRIS-related functionality. Collaborate with HR team members to streamline processes and improve operational efficiency. Administrative Tasks Assist in the creation and maintenance of job descriptions, ensuring accuracy. Manage movie tickets—purchase, sell, reconcile, and provide money to Fiscal. Retrieve old physical files of terminated staff, file them appropriately, move term files to compliance room, and destroy very old files after 7 years. Pull I‑9 for terminated employees, move to termed binder, and destroy terms after 1 year or 3 years from hire, or update digital I‑9 retention date when no longer needed. Distribute W2 forms. Conduct background checks for annual award winners. Perform other projects as assigned. Qualifications Bachelor’s degree from a regionally accredited college or university. Human Resources systems experience. General knowledge of Human Resource Management principles and practices. Working knowledge of HRIS systems and data management. Proficiency in Microsoft Office Suite, including Microsoft Excel. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Ability to maintain confidentiality and handle sensitive information. Demonstrated problem‑solving abilities. Experience with employee onboarding processes. Ability to work independently and as part of a team. Experience in administrative functions. Preferred Qualifications Experience with HRIS systems. Familiarity with HRIS reporting and analytics. Experience in a business administration environment. Experience with writing process and system documentation. 3 to 5 years of experience in a Human Resources or related role.
