Position Summary Title: Administrative Support Specialist (Student Supp Serv-2nd Position) Working Title: Administrative Support Specialist Location: Boone, NC Department: Learning, Teaching, and Curriculum Visa Sponsorship: Not available. All candidates must be eligible to work and live in the United States. Primary Purpose This Administrative Support Specialist serves as the primary contact and provides comprehensive administrative support to the Chair, Assistant Chair, Program Directors, faculty members, and students. Essential Job Functions Serve as the initial contact person for the department by answering the telephone and greeting visitors to the department. Must communicate information clearly to staff, clients, and/or the public about services, processes, and procedures using prescribed or established guidelines. Utilize program-specific terminology. Gather readily available information from office records to draft e-mails, memos, and other documents. Proofread documents for grammar, spelling, punctuation, and basic formatting. Provide written answers to requests for general information. Record and document information accurately. Use established filing and data systems that require knowledge of the program. Review data and information for completeness and accuracy using standard guidelines; perform tasks with attention to detail. Understand software used for day‑to‑day functions. Understand program and admissions requirements, registration processes, class schedule building processes, textbook order processes, and faculty workload policies. Demonstrate basic understanding of the area of specialization, program procedures, methods, and practices, including knowledge of program and staff responsibilities. Use one or more software programs, information systems, and specialized equipment to access, input, and verify standard information. Identify and recognize problems that have established precedents and limited impact. Refer non‑standard questions and problems to higher levels. Plan and facilitate the support activities of student employees, coordinating with others to complete tasks. Minimum Qualifications Graduation from high school and one year of related office experience; or an equivalent combination of education and experience. Diplomas or degrees must have been earned from appropriately accredited institutions. Knowledge, Skills & Abilities Ability to manage tasks and workload to meet the department’s objectives and deadlines. Ability to take initiative, prioritize work, work independently, and complete projects without detailed instructions. Flexibility to changes in assignments and daily interruptions. Ability to maintain accurate and detailed records/databases. Professionalism at all times as the primary contact for the department. Confidentiality on sensitive and personnel‑related issues. Multitasking and timely completion of work. Assistance with the departmental websites. Preferred Qualifications A proactive and positive approach to work and team collaboration. Demonstrated ability to manage multiple tasks and priorities in a fast‑paced environment. Initiative and responsiveness in a dynamic work setting. Excellent verbal communication and interpersonal skills to engage effectively with students, faculty, and fellow staff. Proficiency with the Banner Student information systems. Functional Competencies Communication – Verbal : Serves as initial contact person. Applies judgment in releasing confidential information or referring to higher levels. Information / Records Administration : Uses filing and data systems, reviews data for completeness and accuracy, understands software, basic program and admissions processes. Knowledge – Program : Demonstrates basic understanding of the area of specialization, program procedures, methods, and practices. Office Technology : Uses one or more software programs, information systems, and specialized equipment to access, input, and verify standard information. Problem Solving : Identifies and recognizes problems, refers non‑standard questions to higher levels.
