Above all, communication is the most important responsibility of this position. We believe exceptional property management begins with responsive, accurate, and professional communication. Our Assistant Property Manager serves as a primary point of contact for tenants, property owners, prospective residents, and contractors, ensuring that questions are answered, concerns are addressed, and responsibilities are followed through to completion. This position combines customer service, maintenance coordination, lease administration, property inspections, and general property management support. The ideal candidate is proactive, detail-oriented, personable, and capable of working independently with minimal supervision. Key ResponsibilitiesCommunication & Customer Service Serve as a primary point of contact for tenants, property owners, prospective residents, and contractors. Respond promptly and professionally to incoming phone calls, emails, text messages, and property management system communications on a daily basis. Communicate clearly regarding rental listings, applications, lease terms, policies, procedures, inspections, late rent, and applicable fees. Maintain consistent follow-through on outstanding questions, concerns, and requests. Document important conversations and communications accurately in company systems. Maintenance & Vendor Coordination Receive, review, and coordinate tenant maintenance requests. Ask appropriate troubleshooting questions to identify maintenance needs and determine potential tenant responsibilities. Schedule contractors, coordinate access, communicate with tenants, and monitor work progress. Assist with larger repair projects involving multiple contractors and timelines. Follow up with tenants and vendors to verify satisfactory completion of work. Keep management informed of significant maintenance concerns, delays, and project developments. Property Management & Inspections Assist with scheduling and conducting routine property inspections, move-in/move-out inspections, and other property visits as assigned. Document property conditions, maintenance concerns, and potential lease violations. Assist with coordinating repairs, property turnovers, and preparations for new tenants. Support lease signings, renewals, notices, and other lease administration responsibilities. Assist with communicating delinquent rent, fees, and lease compliance matters according to company policies and applicable laws. Administration & Compliance Maintain accurate property, tenant, vendor, and communication records using Buildium and other company systems. Review important documentation for completeness, accurate dates, and required signatures. Assist with filing, recordkeeping, and other administrative responsibilities. Maintain compliance with Fair Housing laws and successfully complete required Fair Housing training. Report all hours worked accurately and honestly. Support the COO and Broker with additional property management responsibilities as needed. Qualifications Previous residential property management experience required. Experience with Buildium, RealPage, AppFolio, Yardi, or comparable property management software required. Exceptional written and verbal communication skills. Strong customer service skills and a positive, solution-oriented attitude. Familiarity with residential leases, maintenance coordination, inspections, and Fair Housing requirements. Excellent organizational skills, attention to detail, and time management. Ability to manage multiple priorities independently while maintaining consistent follow-through. Reliable transportation and ability to visit properties throughout the Huntsville/Madison County area as needed. Honesty, integrity, professionalism, and accountability. Schedule & Work Environment This position is scheduled Monday through Friday, 10:00 a.m. to 4:00 p.m., with remote/hybrid flexibility.
