Event Sales Coordinator

Position Summary

The Event Sales Coordinator is the first point of contact for all clients, setting the tone for every event experience at Wythe Hotel. They manage incoming inquiries with efficiency, professionalism, and a warm, hospitality-driven approach, ensuring clients feel welcomed and supported from the very first interaction. This role is a vitally important role for our team and requires exceptional organizational skills and attention to detail, as well as the ability to anticipate needs and provide thoughtful, seamless service. Beyond client-facing responsibilities, the coordinator partners closely with the Events team to provide administrative and operational support, helping ensure that each event reflects Wythe’s distinctive style, personality, and commitment to effortless, memorable experiences.

Key Responsibilites

• Monitor event phone lines and email inbox, taking messages and forwarding calls to the appropriate team members in a timely, professional manner.
• This is a vitally important role for our team. Being the first person that our clients connect with, the Event Coordinator sets the tone. They must be professional and knowledgeable and personable and thoughtful and responsive. 
• Enter sale leads into Tripleseat, adding source and other important details. Assign any new opportunities to the correct Sales Director within an hour of receipt.
• Send first response & wedding brochure to all wedding inquiries in a timely manner (same day of receipt) introducing clients to sales manager/director.
• Develop an understanding of the sales strategy and the value of different leads for our team.
• Build weekly reports for Sales and Operational meetings, including BEO packets, F&B Sheets, Staffing Sheets, etc.
• Attend weekly BEO meetings
• Print all materials for events including placecards, signage, menu cards and anything else as required paying attention to detail to ensure no typographical errors.
• Assist Event Managers in preparing event detail sheets.
• Provide assistance to Event Managers with corporate and social events on an as needed basis.
• Maintain and organize Events office along with records, invoice breakdowns, canned responses, photo and video assets, etc.
• Create and print Event menus using InDesign and Canva.
• Setup and manage Wedding Room Blocks, working closely with Reservations & Revenue Manager on setting rates for each group. Send clients booking link and remind them of cutoff date and then answer any questions regarding block as they come available and directing anyone looking to make standard wedding block reservations to the Booking link or Front Desk to assist. Assist with any VIP or detailed wedding block reservations.
• Assist Sales team with miscellaneous projects as requested.
• Assist sales team with client walkthroughs when required, providing information to clients with warmth and charisma and care so they understand our personally invested approach to their event.
• Assist with billing, recording, and tracking financials for the Event Sales team when required.

Qualifications and Skills:

• Warm, inclusive, and curious by nature
• Highly organized and efficient
• Able to work with a sense of urgency and to deadlines
• FOH hospitality experience is highly regarded
• Fluency with Microsoft Office, GSuite Programs, TripleSeat, InDesign, and MEWS (Training provided as needed) 
• Excellent written and verbal communication skills
• Detail oriented

Compensation

$70,000-$75,000 (based on experience)
