Summary

Responsible for administrative and operational tasks including mail distribution, file maintenance, and office supplies management. Assists with deposits, collections, lease renewals, and property inspections. Prepares move-out paperwork, Manages the gate card system, bills service invoices, and assists with court papers and extermination notifications.

Responsibilities

A. Prepares courier mail for pick up and receives mail from Regional and distributes.

B. Checks drop box daily.

C. Filing and Maintaining files; current and dead files

D. Maintain Office Supplies - Requisitions

E. Batch and Settlement Report of credit card machine at the end of day.

F. Complete purchase orders for property manager review.

G. Code utility bills and complete any pro-rations. Bill resident accounts.

H. Prepare Utility Letter for Property Manager/Business Manager to sign and send to resident.

I. Maintain GSC Utility log.

J. Assist with deposit preparation.

K. Assist with collection procedures.

L. Compare approved Excel Renewal Worksheet with MRI worksheet. If any differences are detected contact the MRI Specialist.

M. Assist in the Lease renewal process in MRI.

N. Inspects property twice a week for resident handbook violations. Notified Property Manager of said violation. Notes any service required.

O. Prepare complaint letters at the direction of Business or Property Manager.

P. Assist in preparing all move out paperwork including receipt of vacate notices, preparation and distribution of 109/109A, 905/101 keys to service at time of move out.

Q. Assist in preparing move-out kits.

R. Assist with maintaining and updating 30-Day Tickler file for move-outs and violation letters.

S. Respond to rental verification requests in accordance with policy.

T. Respond to Security deposit refund inquiries.

U. Assist in Maintaining and updating gate card system. Notify gate service of damaged gate and bill responsible resident.

V. Bill service invoices in MRI, send resident a copy and place a copy in file.

W. Assist with the preparation and filing of court papers.

X. Assist in preparing notification for extermination

Y. Assist in preparing move-out kits.

Z. Assist with maintaining and updating 30-Day Tickler file for move-outs and violation letters.

AA. Respond to rental verification requests in accordance with policy.

BB. Respond to Security deposit refund inquiries.

CC. Assist in Maintaining and updating gate card system. Notify gate service of damaged gate and bill responsible resident.

DD.Bill service invoices in MRI, send resident a copy and place a copy in file.

FF. Assist in preparing notification for extermination.

GG. Bill approved Resident Referrals.

HH. Review On-Line Manual and be familiar with forms and policy.

II. Monitor cameras to weight room and ensure back up tape inserted nightly.

JJ. Assist leasing staff in applicant qualification process when needed.

KK. Provide support to auditing team during annual audits.

Education: High school diploma or equivalent.

Experience: Minimum 2 years working knowledge as a leasing consultant of conventional properties.
