Operations ManagerHeartfire, an Ameriprise Private Wealth Advisory Practice, is seeking an experienced, highly proactive Operations Manager to play a critical leadership role within our growing wealth management practice in Dunedin, Florida.The Operations Manager will be responsible for helping translate the firm's vision and strategic priorities into consistent day-to-day execution. This person will oversee practice operations, establish accountability, improve processes, implement technology, analyze practice data, and help ensure that priorities are completed accurately and on time.What You'll DoOversee the day-to-day operational execution of the practiceEstablish and maintain processes that create consistency, accountability, and a high-quality client experienceMonitor CRM tasks and workflows to ensure responsibilities are being completedHold team members accountable for deadlines, processes, and quality standardsIdentify gaps in execution and work with team members and leadership to resolve themDevelop and improve standard operating proceduresRegularly review and refine SOPs and workflows as technology and practice needs evolve, while developing and documenting processes for initiatives such as client acquisitions.Help establish clear ownership and accountability across the teamEvaluate and implement new technology, tools, and workflowsHelp the team maximize the capabilities of the firm's technology stackIdentify opportunities to leverage AI and automation to improve efficiencyHelp ensure technology is being used effectively and consistentlyStay current on new tools and industry developments that may benefit the practiceLead projects from concept through implementationMonitor practice reports and key performance indicatorsAnalyze trends and identify areas for improvementPull, filter, organize, and manipulate CRM and other practice data to generate meaningful insightsHelp leadership understand what is working, what is not, and where changes should be madeDevelop reporting processes that support better decision-makingHelp maintain a consistently high level of service across the practiceUnderstand the client experience from initial contact through ongoing serviceIdentify opportunities to improve the client experience and ensure those standards are reflected throughout the teamHelp identify operational issues before they impact clientsMaintain a high standard of professionalism consistent with a private wealth management environmentHelp turn the firm's strategic vision and quarterly priorities into actionable plansTrack initiatives and ensure progress continuesSupport implementation of marketing, business development, and practice-growth initiativesHelp identify and implement new roles, processes, and resources as the practice growsParticipate in recruiting and help evaluate future team membersHelp integrate new employees into the practiceDevelop plans for incorporating additional advisors, employees, or acquired practices into the firm's operating structureHelp the practice scale while maintaining its standards of quality and client serviceProvide operational leadership and accountability to the entire teamPartner closely with the leadership team to execute the firm's goalsBe comfortable respectfully challenging leadership when agreed-upon processes or commitments are not being followedFoster a culture of ownership, collaboration, and continuous improvementHelp create an environment where team members understand what is expected and take responsibility for delivering resultsWhat We're Looking For5+ years of relevant financial services, wealth management, practice management, or operations experienceExperience working within a financial planning or wealth management practice strongly preferredExperience as a financial advisor, operations leader, practice manager, senior client service professional, or similar role preferredAmeriprise experience is a plusSecurities licensing preferredBachelor's degree preferred, but not required for a highly experienced candidateStrong understanding of how a financial planning/wealth management practice operatesExperience with CRM systems, preferably SalesforceExperience with financial planning and wealth management technology, preferably including MoneyGuideStrong Excel, reporting, and data analysis skillsAbility to analyze practice data and turn it into actionable recommendationsStrong project management skills and demonstrated ability to take initiatives from beginning to endExperience developing or improving processes and proceduresStrong understanding of client service and the expectations of a high-net-worth/private wealth environmentComfortable working with and implementing new technology and AI toolsStrong communication and interpersonal skillsHigh degree of professionalism, maturity, and sound judgmentWillingness to challenge the status quo and respectfully hold others accountableOur Core ValuesQuality – Quality is our foundation.
