This individual plays a vital role in creating a seamless and welcoming spa experience by coordinating appointments, supporting daily spa operations, and delivering exceptional service to every guest.Position OverviewThe Spa Coordinator is responsible for serving as the primary point of contact for spa guests, ensuring all appointments, guest requests, and operational needs are handled efficiently and professionally. This position supports daily spa operations through scheduling, administrative coordination, retail support, and guest service excellence while maintaining the luxury hospitality standards that define the Hotel ZaZa brand.The ideal candidate is highly organized, service-oriented, detail-focused, and thrives in a fast-paced luxury hospitality environment.Weekend availability is required for this position*Key ResponsibilitiesWelcome spa guests in a professional, friendly, and courteous manner.Manage spa reservations, scheduling, confirmations, and cancellations using spa management software.Answer incoming phone calls and respond to guest inquiries regarding services, treatments, pricing, and spa policies.Coordinate guest appointments to maximize therapist and treatment room utilization.Complete guest check-in and check-out procedures accurately and efficiently.Process payments and maintain accurate financial records in accordance with company procedures.Promote spa services, retail products, packages, memberships, and seasonal offerings.Maintain a thorough knowledge of spa treatments, wellness services, products, and promotional programs.Ensure treatment schedules, guest preferences, and special requests are communicated effectively to spa team members.Assist guests with product recommendations and retail purchases.Monitor guest satisfaction and proactively address concerns or service recovery opportunities.Maintain cleanliness, organization, and presentation of reception, retail, locker room, and guest areas.Support inventory management by monitoring retail and operational supply levels.Assist with daily opening and closing procedures.Coordinate VIP guest experiences and special requests.Collaborate with other hotel departments to provide seamless guest service.Follow all company policies, spa standards, and safety procedures.Maintain confidentiality regarding guest information and treatment details.Attend departmental meetings and required training sessions.Perform other duties as assigned by management.QualificationsPassion for delivering exceptional guest service.Strong interpersonal and communication skills.Excellent organizational and multitasking abilities.Professional appearance and demeanor.Ability to work efficiently in a fast-paced environment.Strong attention to detail and follow-through.Ability to remain calm and professional during high-volume periods.Ability to work independently and as part of a team.Dependable attendance and punctuality.Ability to handle confidential guest information appropriately.Preferred QualificationsPrevious experience in a spa, hotel, resort, wellness center, or luxury hospitality environment.Experience with spa scheduling and point-of-sale systems.Luxury spa or luxury hotel experience preferred.Retail sales experience.Knowledge of spa treatments, wellness services, skincare products, and massage therapy offerings.Experience handling guest concerns and service recovery.Physical RequirementsAbility to stand and walk for extended periods during scheduled shifts.Ability to sit, type, and operate a computer and telephone for extended periods.Ability to bend, stoop, reach, and lift items regularly.Ability to lift and carry supplies, retail products, and equipment weighing up to 25 pounds frequently and up to 35 pounds occasionally.Manual dexterity required to operate office equipment, point-of-sale systems, and spa scheduling software.Work EnvironmentLuxury spa, wellness, and hotel hospitality environment.Frequent interaction with guests, vendors, and team members.Fast-paced environment with varying levels of activity.Schedule flexibility required, including mornings, evenings, weekends, holidays, and special events.Professional appearance and grooming standards consistent with Hotel ZaZa luxury service expectations.Compensation and BenefitsHotel ZaZa offers a competitive compensation package, which may include hourly wages, gratuities where applicable, health and welfare benefits, paid time off, retirement savings plans, employee assistance programs, and hotel discounts, subject to eligibility requirements and company policies.Why Join Us?At Hotel ZaZa, we don’t just offer jobs, we offer careers that inspire.
