Scheduler - Memorial City - Houston, Tx

Overview The US Oncology Network is looking for a Scheduler to join our team at Texas Oncology . This full‑time position will primarily support our Memorial City location in Houston, TX . Memorial City is a vibrant district with upscale shopping, fine dining, and family‑friendly entertainment. This position may be Level I, II, or Senior based on candidate experience. Why work for us? What does the Scheduler do? Under direct supervision, the Scheduler schedules patient appointments and tests in an efficient and timely manner, answers all incoming calls, directs calls to the appropriate personnel, and serves as a liaison between patients and medical staff. The role may include outside scheduling and/or surgical scheduling responsibilities and supports and adheres to the US Oncology Compliance Program. Responsibilities Answer all incoming calls, assess callers' needs, and direct to appropriate personnel. Obtain and communicate messages accurately and timely. Schedule new patients, referrals, and returning patients in the computer system per physician and office guidelines, entering appropriate documentation and coding. Cancel or reschedule appointments according to physician schedule changes and notify appropriate clinic personnel. Enter insurance authorizations and referral correspondence into patient charts or electronic medical records (EMR). Collect co‑pays, deductibles and other out‑of‑pocket amounts at time of visit. Maintain the primary office scheduling template with physician meetings, satellite schedule, rounds, and call coverage. Arrange financial counseling for patients as needed. Demonstrate understanding of patient confidentiality and protect patient and clinic information. Follow policies and procedures to contribute to front‑office efficiency and cover for other front‑office functions as requested. Prepare correspondence, memos, forms and other typing as requested by supervisor. Schedule outpatient appointments/testing/surgeries and hospital admissions upon request, obtaining necessary pre‑certification as required. Communicate with patients about scheduled surgeries or tests, inquiring about preparation and gathering necessary information. Follow up on all pre‑operative tests to ensure clearance for surgical procedures and communicate with physicians and patients if further testing is needed. Schedule post‑operative follow‑up appointments with physicians. Understand medical terminology for tests and surgical procedures, including coding and ability to look up specific codes. Qualifications Level I High school diploma or equivalent required. Entry level; 0–3 years of experience, preferably in a medical office setting. Knowledge of medical terminology and coding a plus. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Outlook, Word, Excel) required. Level II (in addition to Level I) Minimum three (3) years of office experience, preferably in a medical office setting. Level Senior (in addition to Levels I and II) Minimum five (5) years of office experience, preferably in a medical office setting. Knowledge of medical terminology and coding required. Competencies Shows up‑to‑date technical and functional knowledge, learns quickly, and accesses other expertise when appropriate. Demonstrates adaptability, handles day‑to‑day work challenges confidently, and is willing and able to adjust to multiple demands, shifting priorities, ambiguity, and rapid change. Uses sound judgment to make timely, cost‑effective, and sound decisions under uncertainty. Shows work commitment by setting high performance standards and pursuing aggressive goals efficiently. Commits to quality by emphasizing delivery of high‑quality products or services, defining standards, evaluating against those standards, and improving efficiencies. Physical Demands Work may require long periods of sitting, stooping, bending, and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires manual dexterity for keyboard, calculator, telephone, copier, and other office equipment. Vision must be correctable to 20/20 and hearing in the normal range for telephone contacts. Computer screen use for prolonged periods of time is necessary.
