Accounting Manager / Executive Assistant

About the Role

Financial Operations & Reporting

• Oversee daily accounting activities, including accounts payable, accounts receivable, bank reconciliations, and the general ledger
• Prepare monthly financial statements and management reports
• Reconcile balance sheet accounts and ensure accurate recordkeeping
• Manage payroll entries and maintain organized financial documentation
• Review service agreements, validate billing, reconcile time entries, and ensure accurate invoicing
• Maintain accurate recurring billing and client account records
• Prepare financial reports, spreadsheets, and management summaries as needed

Executive & Administrative Support

• Provide day-to-day administrative support to company leadership
• Track action items, follow up on outstanding tasks, and help keep priorities on schedule
• Coordinate with internal teams to ensure projects and administrative tasks are completed on time
• Assist with client, vendor, and internal communications as needed
• Organize company documentation, recurring reminders, and operational processes
• Support general administrative and operational needs as assigned

Qualifications

• Bachelor’s degree in Accounting, Finance, Business, or a related field preferred
• Four to seven years of accounting, bookkeeping, finance, or similar experience
• Experience supporting business owners or executives is a plus
• Experience in an IT services, technology, or service-based business is a plus

Required Skills

• Strong understanding of bookkeeping, reconciliations, and GAAP fundamentals
• Strong QuickBooks Online experience
• Experience with accounting, billing, or business management software, with the ability to quickly learn new systems
• Proficiency in Microsoft Excel, Outlook, and Microsoft 365
• Excellent organizational and time-management skills
• Strong attention to detail and accuracy
• Ability to manage multiple priorities and work independently
• Comfortable handling confidential information professionally
• Excellent written and verbal communication skills
• Proactive, dependable, and committed to following through on tasks

Work Location: Onsite in Doral, Florida

Schedule: Full-time

Monday through Friday

8:30 AM to 5:00 PM EST
