Purchasing Agent/Supply Chain Coordinator (Sourcing & Procurement)

About the Role: PAG USA ( is building a tech-enabled, end-to-end supply chain platform — covering both raw material sourcing and US-based contract manufacturing capacity. We're looking for a Supply Chain Coordinator who is fluent with AI tools and digital research, and who can build, maintain, and continuously improve our supplier network. Your job is not just to find suppliers — it's to build a competitive, well-documented, audit-ready supply chain that lets PAG quote faster, win more business, and deliver on time, every time.

Key Responsibilities:

Digital Sourcing & Supplier Development (AI-Driven):

  • Finished Goods: Research and onboard US-based contract manufacturers across formats — capsules, tablets, gummies, soft chews, powders, stick packs, liquids, soft gels — to expand PAG's production footprint beyond our core partner. Pre-qualify each candidate on capability, capacity, certifications (cGMP, NSF, organic, kosher, halal), and MOQ.
  • Raw Materials: Use AI tools, B2B platforms, trade databases, and search engines to identify and qualify ingredient suppliers across the categories we serve (vitamins, minerals, botanicals, amino acids, branded actives, excipients, flavors, sweeteners). Initiate first contact primarily through web forms, supplier portals, and email.
  • Strategic Follow-up: Track every outreach in a CRM-style system. Email and digital channels are the default; phone calls are used only when digital channels go cold, or to close on time-sensitive items.

Competitive Quoting & RFQ Management:

  • Receive ingredient and finished-goods inquiries from the sales and R&D teams. Issue RFQs to qualified suppliers, collect quotes, normalize them onto a common basis (per kg / per unit / landed cost / MOQ tier), and recommend the most competitive option.
  • Maintain at least 2–3 active suppliers for every key ingredient to ensure price tension and supply continuity.
  • Build pricing intelligence: track historical quote movement, FX impact, raw material commodity trends, and supplier-specific behavior so PAG always quotes from the best available data, not the last one on file.

Master Price List & Data Integrity:

  • Update the Master Price List daily. Every new quote, price change, MOQ change, or tier break is logged the same day so our automated quoting tool always pulls accurate numbers.
  • Run periodic audits to catch stale entries (>90 days untouched) and proactively re-quote.
  • Surface cost-saving opportunities — alternative suppliers, volume aggregation across clients, forward-buy windows — to the GM each month.

Supplier Documentation & Compliance Library (The Client-Facing Asset):

  • Collect and maintain a complete documentation package for every approved supplier and ingredient: Certificate of Analysis (COA), specification sheet, allergen statement, GMO/non-GMO declaration, BSE/TSE statement, kosher/halal/organic certificates, prop 65 status, country of origin, and TDS where applicable.
  • Stay ahead of expiration dates — request renewals before certificates lapse so client requests never get blocked.
  • Respond to client compliance requests by pulling the right documents from the library quickly and packaging them in a clean, client-ready format. This is one of the most visible parts of PAG's service to brand owners — speed and completeness here directly win deals.

Audit & Factory Visit Coordination:

  • Finished Goods: Arrange and accompany site visits and audits at prospective contract manufacturers for PAG's internal QC team (or future QA hires). Prepare audit checklists, capture findings, and follow up on corrective actions.
  • Raw Materials: Coordinate with the QA team at our partner manufacturing facility to schedule audits and qualification reviews for new ingredient suppliers.

Production & Shipment Tracking:

  • Once a PO is placed, track production status with the supplier, confirm shipping dates, and make sure every raw material lands at the manufacturing site in time for the scheduled production window. Late ingredients are not an excuse — your job is to see problems before they become delays and escalate early.
  • Support finished-goods logistics tracking from factory to client warehouse as needed.
