Real Estate & Construction Operations Coordinator (Tyler)

Job Description

The Real Estate & Construction Operations Coordinator serves as a key execution and coordination resource across Genecov Group’s Commercial Leasing, Commercial Construction, Civil Construction, Residential, and Development functions.

This position supports coordination, communication, documentation, tracking of priorities, and follow-through across multiple departments. The role helps ensure assignments, documents, deadlines, and outstanding items are carried through to completion and that important matters do not become delayed or overlooked.

The position also provides administrative support to the Commercial Leasing and Commercial Construction teams, administrative support to the VP of Real Estate, and coordination between the Director of Civil Construction and the Residential and Development teams.

Duties and Responsibilities

VP of Real Estate Administrative Support

• Provide administrative support to the VP of Real Estate across the departments under his leadership.
• Assist with meeting coordination, preparation of materials, tracking follow-up items, routing approvals, and other administrative needs as assigned.

Civil Construction, Residential & Development Coordination

• Serve as a liaison between the Director of Civil Construction and the Residential and Development teams
• Translate the Director's direction into assignments, priorities, and deadlines and follow up to ensure completion.
• Serve as a consistent point of contact for team questions, gathering information and elevating items requiring the Director's input.
• Monitor projects and action items, communicate status, identify delays or missing information, and help keep the teams organized and accountable.
• Coordinate meetings, documentation, communication, and follow-up between all departments.

Commercial Construction Support

• Provide administrative and project coordination support for the Commercial Construction team.
• Assist with tracking project priorities, documentation, deadlines, approvals, and required follow-up.
• Coordinate information, documents, meetings, and communication needed to keep Commercial Construction items moving forward.

Dynasty Development Support

• Provide administrative and project coordination support for Dynasty Development.
• Assist with pay applications, certificates of insurance, bond requests, contract execution, and related project documentation.
• Coordinate document routing, approvals, signatures, distribution, and filing.
• Maintain project records and track outstanding documents, deadlines, and required follow-up.
• Coordinate with contractors, vendors, insurance representatives, bonding agents, Accounting, and internal team members as needed.

Commercial Leasing Support

• Provide administrative and transaction support to the Senior Commercial Transactions Manager and Leasing team.
• Assist with tracking leasing activity, prospects, proposals, renewals, pending documents, deadlines, and outstanding action items.
• Maintain leasing trackers and assist with reports, meeting materials, property information, and special projects.
• Follow up with internal and external parties to ensure administrative items do not delay deal execution.

General

• Manage multiple priorities across departments while maintaining accuracy and meeting deadlines.
• Develop and maintain systems for tracking requests, documents, approvals, and action items.
• Proactively communicate status, delays, and unresolved issues to the appropriate leader.
• Identify opportunities to improve workflow, communication, and follow-through.
• Handle confidential and sensitive business information with discretion.
• Perform other duties as assigned.
