Order Entry Administrator

We are seeking a detail-oriented and organized Administrative Assistant / Order Entry Administrator to support daily office operations. This role is ideal for someone who enjoys working with data, managing paperwork, maintaining accurate records, and providing administrative support across multiple functions. The successful candidate will play an important role in ensuring orders are processed accurately, inventory records are maintained, and office activities run efficiently. Responsibilities Enter customer orders and maintain accurate records within company systems Review order information for accuracy and resolve discrepancies as needed Track and update inventory levels, reporting shortages or inconsistencies Prepare, organize, and maintain physical and electronic documentation Process basic invoicing and assist with billing-related administrative tasks Distribute incoming mail and coordinate outgoing shipments and correspondence Create, maintain, and update spreadsheets using Microsoft Excel Generate reports and provide administrative support to various departments File documentation and ensure records are organized and easily accessible Assist with additional clerical and office support duties as assigned Qualifications Previous experience in administrative support, office administration, order entry, or a related role Strong data entry skills with excellent attention to detail Proficiency in Microsoft Excel and other Microsoft Office applications Ability to manage multiple priorities in a fast-paced environment Strong organizational and time-management skills Excellent written and verbal communication abilities Experience with inventory tracking, invoicing, or order processing preferred High school diploma or equivalent required Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
