Treasurer - Student Hourly

Position Overview Student Senate is the primary advocate for students on campus. Our 90 senators, 15 legislative officers, 10 executive staff members, 5 election commission members, and advisors work together to allocate about $24 million in student fees in ways that best serve students. We also represent the KU student voice within University, State, and National Governance, working to address and develop policy in students' best interests. Job Description 40% - The Student Senate Treasurer shall perform the following functions: Approving and signing forms for any and all expenditures. Working with Student Senate-funded groups to aid them in spending their funds through the correct university and state procedures and channels. Training all organizations’ treasurers in the administrative procedures using the Student Senate’s Business Procedures Guide. Working with the Vice Provost for Finance, under whose auspices and budgets Student Senate funds. Working with the officers and staff of the Student Senate in any and all financial matters. Working with various administrators, faculty, staff, and students as the link for administering student activity-fee funds, and to help solve any problems associated with the administration of such funds. Train organization’s treasurers in the administrative procedures using Student Senate’s business procedures guide. Serve as an ex-officio, non-voting member of the Students Assembly and Student Executive Council. Be responsible for other tasks as may be assigned by the Student Senate Constitution, the Student Body President, the Student Executive Council, or the Student’s Assembly. 15% - The Treasurer shall be responsible for enforcing provisions of the Budget Code of this constitution and advising members of Student Senate as they make decisions surrounding the budget code. 10% - During the first regular Student Executive Council meeting of the fall semester, the Treasurer shall present complete budget information for the upcoming fiscal year so that StudEx may set a spending cap, as outlined in Title Five, for that year. 10% - The Treasurer shall have ultimate authority and responsibility for maintenance of all accounts, books and records of the Student Senate and all activity-fee funded student organizations. This shall include clear demonstration of where all funds have been received and to whom, as well as for what all expenditures have been made via an excel sheet that is updated no later than 72-hours following any funding allocation that is available on the Student Senate website. 10% - The Treasurer shall prepare and make available to the proper persons any and all forms, available on Rock Chalk Central, deemed necessary and proper for the administration of funds in coordination with the SILC Student Senate full-time employee. 5% - The Treasurer shall oversee the expenditure of any funds necessary from the Unallocated Account up to the balance of the Unallocated Account to perform proper fiscal year-end closing procedures. 5% - The Treasurer shall be responsible for the development of the Fee Review, Block Allocation, and Line-Item applications. Applications for the three allocation processes shall be made available to the public no later than 01 December of each year. The Student Senate Treasurer, in consultation with the Fund Development Director and the Chair of the Student Council on Finance, shall determine the deadline for applications to be submitted to the Student Senate. 5% - The Treasurer shall assist and advocate for marginalized students and student groups within Student Senate funding processes. Required Qualifications Available on Wednesday nights from 5pm-10pm for Student Senate meetings. Preferred Qualifications Previous experience with Student Senate. Prior work experience in accounting or business procedures as shown in application materials. Prior experience working with student organizations and students as shown in application materials. Position Requirements During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre‑enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments). Employment Conditions Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR. This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
