Clinical Program Manager

Position Title: Clinical Program Manager Reports To: Deputy Director Supervises: PLMHP(s), Practicum Students and Clinical Interns Credentials Required: LIMHP/LMHP and LICSW/LCSW (ability to obtain LCSW within 12 months) Position Overview The Clinical Program Manager (CPM) under the direction of the Deputy Director, leads the development, implementation, and oversight of Collective for Hope’s inaugural clinical grief services program. As the organization’s primary clinical leader, the CPM is responsible for establishing grief-informed clinical operations that expand CFH’s continuum of care while complementing CFH’s peer-based programming. This role will build and operationalize a short-term, stabilization-focused clinical service model designed to support individuals experiencing bereavement. The CPM will establish and manage clinical policies, procedures, intake and treatment systems, referral pathways, documentation standards, risk management protocols, and HIPAA-aligned privacy and compliance practices. During the pilot phases of services (first 6-12 months), this position will balance providing direct counseling services with significant operational and program development responsibilities. These operational and program development responsibilities will include, but are not limited to: creating a promotional and service rollout plan, establishing policies and procedures, and defining measurable outcomes and success metrics. As demand grows, the CPM will play a key role in scaling CFH’s clinical infrastructure by recruiting, onboarding, and supervising additional clinical staff and practicum students, supporting the development of an external network of vetted grief-informed referral partners, and developing and overseeing grief-informed professional development and educational opportunities for practitioners. Primary Responsibilities Operational Design and implement clinical participant intake, treatment, referral, and discharge systems. Develop and maintain clinical policies, procedures, workflows, risk-management and standard operating protocols for clinical services in partnership with CFH leadership. Oversee the selection, implementation, and maintenance of clinical software and documentation systems. Develop and provide education regarding clinical services, eligibility criteria, referral pathways, and the role of clinical support within CFH’s continuum of care to staff and volunteers. Establish and maintain working relationships with primary referral sources. Marketing & Communications Develop and implement marketing and outreach strategies for clinical services. Communicate with existing CFH staff, volunteers, and participants regarding clinical service delivery. Provide input on how and when to advertise services to current participants. HR and Management Recruit, onboard, and supervise practicum students and clinical interns. Develop and implement a multi-year staffing and capacity plan for growth of clinical services. Participate in supervision, clinical consultation, and staff development activities. Monitor emerging research and best practices in grief, bereavement, trauma-informed care, and clinical service delivery and recommend organizational improvements accordingly. Model grief-informed leadership and foster a culture of psychological safety, while championing DEI and staff-wellness initiatives to nurture a high-performing, mission-aligned culture. Financial Develop and monitor an annual budget for the clinical program. Participate in budget forecasting in collaboration with the larger CFH team. Programming & Evaluation Conduct comprehensive assessments at intake. Provide direct individual and/or group therapy services to CFH participants. Develop, implement, and update treatment plans, and maintain clinical records with treatment plan, client progress, and termination summary. Coordinate care with external providers to ensure continuity of services. Lead evaluation efforts to assess service utilization, participant outcomes, demand, and program effectiveness. Collaborate with the programming team by providing clinical expertise, consultation, and program development support. Development & Fundraising Collect and maintain clinical program data to support grant applications, reporting requirements, and evaluation efforts. Represent the organization in external meetings and community engagement efforts as they relate to grief-informed clinical practices. Support grant development, reporting, and evaluation efforts related to clinical services by providing outcome data, clinical insights, and program narratives. Contribute clinical expertise to organizational impact reports, community education initiatives, and future grief-informed professional development offerings. Supportive Responsibilities Operational Provide administrative support, including phones and emails, when needed. Participate in annual strategic planning. Marketing & Communications Support promotion of current program and clinical service offerings. HR and Management Participate in organizational workforce planning and staffing discussions. Financial Provide timely receipts and invoices for accounting. Programming & Evaluation Review programmatic surveys to ensure consistency across the team. Development & Fundraising Participate in annual fundraising events. Attend meetings with the executive director as needed. Key Performance Indicators This role will have specific quantifiable, annual performance goals in clinical services development and implementation; participant access and outcomes; clinical compliance and documentation; referral network development resource management; reporting and evaluation. Qualifications Minimum three years of clinical experience providing therapeutic services to individuals, families, or groups experiencing grief and/or bereaving. Experience conducting clinical assessments, treatment planning, risk assessment, and clinical documentation. Demonstrated ability to exercise sound clinical judgment, maintain professional boundaries, and manage complex participant situations. Ability to communicate verbally and written in an articulate, professional manner while maintaining necessary degree of confidentiality and appropriate content. Master’s degree in clinical psychology, clinical social work, counseling or a related field required; doctoral degree preferred. Proficiency in Microsoft Office products (Word, Excel, Powerpoint) required. Experience with Microsoft Office 365, Donor Perfect, QuickBooks, Qtego, JotForm, Adobe, Squarespace is a plus. Job Type Fulltime, benefits eligible Compensation $70,000-75,000 Working Conditions Office-based role with primary working hours during 8:00AM to 5:00PM Monday to Friday. Some evenings and weekends required based on program need and CPM discretion. Flexible schedule offered at employee and supervisor’s discretion.
