Picasso Medical Aesthetics is seeking a polished, bilingual Customer Service Representative to manage both front and back-office operations. In this cross-functional role, you will be the face and voice of our medical spa, managing patient interactions, supporting sales initiatives, and delivering a luxury customer experience. The ideal candidate is an expert multitasker who thrives in a fast-paced environment, possesses strong communication skills in both English and Spanish, and is passionate about the medical aesthetics industry.

Responsibilities

• Patient Communication: Deliver exceptional service by communicating effectively and professionally with patients in both English and Spanish, whether in person, over the phone, or via digital channels.
• Front & Back Office Operations: Seamlessly balance patient check-ins, scheduling, check-outs, and administrative data entry.
• Sales & Relationship Support: Assist with sales activities by educating patients on available med spa treatments, monthly specials, package deals, and skincare products to foster strong, long-term relationships.
• CRM & Data Management: Use CRM/medical spa software to accurately log patient information, manage scheduling, track consultation details, and optimize client interactions.
• Social Media & Digital Engagement: Monitor and engage with clients across social media platforms, promptly and professionally responding to inquiries, comments, and direct messages.

Required Qualifications

• Bilingual Fluency: Professional proficiency speaking, reading, and writing in both English and Spanish.
• Technical Software Skills: Hands-on experience navigating Customer Relationship Management (CRM) or practice management software.
• Computer Literacy: Mastery of the Microsoft Office Suite (Word, Excel, Outlook).
• Communication & Interpersonal Skills: Outstanding verbal and written communication skills with a welcoming, patient-first attitude.
• Multitasking & Time Management: Ability to stay organized, pay strict attention to detail, and manage multiple priorities efficiently in a busy medical spa environment.
• Problem-Solving & Teamwork: Strong critical thinking skills to handle client inquiries independently while working collaboratively within a cross-functional team.
• Social Media Literacy: Familiarity with social media platforms (Instagram, Facebook) for professional brand engagement.

Preferred Qualifications

• 1+ years of dedicated customer service or front desk experience (preferably in a medical, spa, or luxury hospitality setting).
• High school diploma or equivalent.
• Background as a Medical Assistant (MA) or prior experience working in dermatology, plastic surgery, or medical aesthetics is highly valued.
