Summary: JH Kelly has grown into one of the largest industrial mechanical contractors in the Pacific Northwest. Our Industrial Projects encompass everything from building foundations, structural steel, and all types of process and material moving equipment to intricate process piping and instrumentation & control systems. The Fabrication Shop Administrative Assistant plays a key role in providing comprehensive administrative support to the Pipe Fabrication Shop. This role ensures seamless collaboration between office coordination and field operations. The Fabrication Shop Admin Assistant is accountable for the accurate and timely processing of assigned tasks, requiring a strong understanding of construction practices, particularly in mechanical disciplines. The successful candidate will be detail-oriented, organized, and adaptable, and play a critical role in supporting the efficient operation of the fab shop and ensuring quality standards are met across all projects.

Salary Range: $23 - $29 per hour (DOE), FLSA non-exempt (OT eligible).

Key Responsibilities:

  • Develops and maintains document control systems and ensures filing systems are updated, organized, and orderly; items are filed within 3 business days of receipt.
  • Supports Shop Superintendent and QC as needed by setting up project files, job set-up data, and other duties as required.
  • Supports Superintendent/Manager(s) as needed by making required business arrangements, acting as liaison in absence, and keeping him/her informed of urgent developments.
  • Maintain and update Spool Tracker/Time Tracker including diameter inch counts from ISOs for spool tracking, information, and productivity.
  • Performs specific duties such as maintaining reference area organization daily, including document updates and completing in a timely manner.
  • Learns, keeps current on, and utilizes available company technology including PCs, related software, and other office equipment.
  • Assists and provides administrative support and guidance to other staff to ensure timely and accurate task completion.
  • Disseminate office correspondence both incoming and outgoing, inclusive of phone messages, files, and payroll checks.
  • Invoice router - Verify phase codes, correct project numbers, and contracts are written.
  • Information/document control support tasks.
  • Maintain and update Welder continuity reports.
  • File code paperwork with the state.
  • Assist with keeping the office area organized.
  • Maintain office supplies and inventory.
  • Perform additional tasks as assigned.

Relationships:

  • Maintain proactive and positive relationships within the crafts, including shop and field craft personnel.
  • Foster positive relationships with customer representatives, vendors, suppliers, subcontractors, safety, CAD/BIM, accounting, IT, and all project teams.

Experience / Qualifications:

  • High school diploma or equivalent certification.
  • Minimum of one (1) year of experience in administrative support.
    • Preferred: Piping knowledge
    • Preferred: Experience with Bluebeam.
  • Proficiency in MS Office tools including Word, Excel, Outlook, and Smartsheet.

Necessary Skills:

  • Comfortable in a fast-paced environment with multiple tasks and projects at hand.
  • Able to organize and manage large amounts of files, tasks, schedules, and information.
  • Self-directed and able to work with limited supervision.
  • Energetic and eager to prioritize workload and tackle new projects and ideas.
  • The ability to input data with a high degree of accuracy and attention to detail.
  • A valid driver's license and clean driving record are required.

Physical Requirements:

Physical requirements for this role include the ability to transition frequently between an office and a construction field setting. In the office, the individual must be able to sit for extended periods while working at a computer, performing repetitive tasks such as typing and using a mouse, and communicating by telephone. In the field, the individual must be capable of standing and walking for extended periods on various surfaces, including uneven terrain, and climbing stairs as required. The role also necessitates the ability to kneel, crouch, and crawl to view/inspect tight spaces, as well as lifting and carrying materials and equipment weighing up to 40 pounds. Good vision and hearing are essential for reading plans, inspecting work, and communicating on-site. The individual must also be adaptable to working outdoors in various weather conditions, adhere to site-specific dress codes, and comply with safety requirements by wearing personal protective equipment (PPE) such as hard hats, gloves, safety glasses, and steel-toed boots. Flexibility to travel between job sites and work outside regular business hours when necessary is also required.
