You will coordinate with leadership, stakeholders, and business service groups and act as a liaison between LJA and contractors. A TYPICAL DAY MAY INCLUDE Forecast replacement needs and fleet financials for the next fiscal year Process new vehicle orders (request quotes, obtain approval, place order, procure auxiliary items, track delivery, review paperwork, process invoices) Maintain inspection & registration records for all vehicles Establish, manage, and maintain toll togs for all vehicles Maintain vehicle information in spreadsheets and fleet software Manage telematics, geofences, and employee addresses; provide reports to managers Promote safety: maintain kits, provide monthly safety news, track incidents Collect and maintain driver qualifications, including MVR reviews Handle incident process: obtain reports, coordinate towing & repair, file claims, arrange rentals, close files Audit and track repair order process with external vendors Coordinate auctioning & liquidation of fleet assets (photos, pricing, paperwork, vendor coordination) Generate reports from fleet management website or supplier for ad‑hoc requests Analyze data; provide budgeting, schedules, maintenance, fuel, and mileage reports Prepare correspondence, presentations, reports; general administrative support Organize physical and digital files Arrange meetings for stakeholder alignment Identify, develop, and implement cost‑saving projects Maintain vendor relationships, conduct price comparisons & reviews, engage suppliers and stakeholders Apply project management skills for new programs and other projects Administer and track initial, annual, remedial fleet training Advise management on asset‑management strategies and improvement opportunities Operate company vehicles as required All other duties as needed REQUIRED EDUCATION / LICENSES / CERTIFICATIONS High school diploma or equivalent (required) Bachelor’s degree, military service, or trade school experience (preferred) REQUIRED QUALIFICATIONS Approved driving record, valid Texas driver’s license, and proof of insurance on personal vehicle At least two years of fleet operation or asset management experience Experience with DOT compliance (preferred) Excellent computer literacy (Microsoft Outlook, Excel, Word, Teams) LEVEL UP WITH LJA Generous Time Off: PTO, paid holidays, full office closure between Christmas and New Year’s Comprehensive Benefits: Health, dental, pets, mental health support Family Support: Paid maternity and parental leave Education Support: Tuition reimbursement and in‑house courses Referral Bonuses Community Impact: Sponsored volunteer days and philanthropic initiatives Professional Development: Memberships to industry organizations Career Growth: Internal mobility opportunities Fun Culture: Social events, sports teams, bring‑your‑kid day We do not accept unsolicited resumes from agencies that have not signed a service agreement.
