Attendance Clerk

Exemption Status: Nonexempt/At- Will Reports to: Principal Pay Grade: D3 Dept./School: Assigned Campus Calendar Days: 193

Primary Purpose: Maintain accurate attendance records for the campus. This position is responsible for tracking student attendance records including court referrals and truancy at the secondary level.

Qualifications:

Education/Certification: High school diploma or GED

Special Knowledge/Skills: Ability to use software to develop spreadsheets and databases, and do word processing Proficient in keyboarding, 10-key numerical data entry, and file maintenance Ability to meet established deadlines Above average oral and written communication skills

Experience: Three years clerical experience

Major Responsibilities and Duties:

Records and Reports

• Issues absence and tardy slips to students during the first hour of the day.
• Assists in the collection of attendance reports from the classroom.
• Assists in keeping of daily attendance sheets and tardiness record.
• Confers with parents on daily absences and makes telephone calls when necessary.
• Refers to the Head Attendance Clerk those cases of chronic absenteeism, tardiness, or truancy.
• Receives and routes all incoming calls.
• Maintains required students' enrollment and attendance records.
• Informs the visiting teacher(s) of chronic absenteeism.
• Makes arrangements for visiting teacher(s).
• Adds new students and withdraws students on the computer.
• Inputs attendance records on all students on Region 20 system.
• Types memos for Assistant Principal.
• Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures.
• Keeps informed of and complies with state and district policies and regulations.

• Assist in campus office as needed.
• Participates in training sessions, faculty meetings, and special events, as required.
• Maintain confidentiality.
• Follow district safety protocols and emergency procedures.
• Perform other job-related duties as assigned by the campus principal or designee.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
