Permitting Specialist / CSR

We are looking for a highly organized, customer-focused Permitting Specialist / Customer Service Representative to join our office team. This position combines permitting responsibilities with customer service and call-taking duties, making it ideal for someone who enjoys multitasking in a fast-paced environment. Responsibilities Permitting: Prepare and submit HVAC and plumbing permit applications. Coordinate inspections with local municipalities. Track permit status and inspection schedules. Maintain accurate permit records and documentation. Ensure projects remain compliant with local codes and requirements. Communicate with inspectors, municipalities, technicians, and office staff regarding permit updates. Customer Service: Answer incoming customer calls professionally and courteously. Schedule service appointments and installations. Assist customers with questions regarding services, permits, inspections, and scheduling. Dispatch calls to the appropriate team members when necessary. Follow up with customers to confirm appointments and ensure satisfaction. Maintain accurate customer information within company software. Administrative Duties: Process paperwork and maintain digital files. Assist with office organization and daily administrative tasks. Support the service and installation departments as needed. Communicate effectively with technicians and management to ensure a smooth customer experience. Qualifications: Previous permitting experience is preferred (HVAC, plumbing, or construction industry strongly preferred). Customer service or call center experience preferred. Excellent communication and phone etiquette. Strong organizational and multitasking skills. Ability to work efficiently in a fast-paced office environment. Experience with Microsoft Office (Outlook, Word, Excel). Experience with ServiceTitan or similar service management software is a plus. Strong attention to detail and problem-solving abilities.
