Position Information Job Title: ED Admitting Registrar Job Type: Full Time, FTE: 1, Hours: 40 per week, Shift: Evenings (Variable hours as posted) Location: VMC Main Campus, Renton, WA Department: Emergency Department / ED Admitting Salary Range: $22.61 – $37.79 per hour (DOE) Reference #: 2026-0466 Job Overview The ED Admitting Registrar is responsible for creating accurate and thorough registration records for each patient visit, obtaining necessary signatures, financial information, and insurance eligibility, and identifying patient balances. Prerequisites High School Graduate or equivalent (G.E.D.) Basic keyboarding skills (45 wpm) Previous work experience in customer service and general clerical/office procedures Preferred Experience Experience in a hospital, medical office/clinic, or insurance company Qualifications Excellent customer service skills Knowledge of medical terminology and abbreviations Effective verbal, listening, and interpersonal skills with a diverse population Ability to carry out assignments independently and exercise good independent judgment Excellent organizational and time-management skills Professional demeanor in stressful situations Ability to learn and work with multiple software/hardware products Reliable attendance and job performance Responsibilities Adhere to Valley Medical Center’s patient identification guidelines Accurately collect, analyze, and record demographic, insurance/third-party coverage, financial, and limited clinical data in the computer system Update and edit information in the computer system, ensuring all fields are populated correctly Scan copies of required documentation (photo ID, insurance cards, referrals, authorizations, etc.) Review and explain all registration, financial, and regulatory forms before obtaining signatures Collect information needed for clean claim processing including diagnosis and procedure codes, complete insurance information, and patient demographics Perform daily audits of registered accounts using EPIC and vendor tools to ensure accuracy Assess patient liability at the time of service, accept payment on accounts with patient financial responsibility, document the transaction in HIS, and provide a receipt Refer patients to financial advocates for in‑depth assistance or payment arrangements Provide information about the financial assistance program to patients who may need help with their accounts Assist patients by providing directions, answering questions, and acting as a liaison with other departments Understand the hospital’s safety event reporting process Actively participate in workflow design or process‑improvement workgroups as assigned Notify management or the training coordinator when new insurance regulations are identified to educate staff Utilize all available manuals, contacts, and resources within the Patient Access office for quality and accurate information Maintain confidentiality of all patient financial and medical records, viewing information only on a need‑to‑know basis Complete annual learning requirements assigned by the department and organization Adhere to dress and badge guidelines, presenting a professional appearance Follow Service Culture guidelines to enhance the patient experience, focusing on patients first and satisfaction Demonstrate awareness of cost containment and suggest process or quality improvements Perform all job functions in alignment with Valley’s cultural expectations (quality performance, compassion, respect, teamwork, community awareness, innovation) Physical and Mental Demands Must be able to stand or sit for extended periods, walk and push a wheeled cart with up to 40 lbs, withstand repetitive keyboarding, lift files and supplies up to 10 lbs, and push wheelchairs. Must respond professionally to patients, physicians, and other customers’ questions and concerns.
