Part-Time Event Operations Coordinator

CriticalPoint is seeking a highly organized, detail-oriented Part-Time Event Operations Coordinator to support the planning and execution of firm-sponsored events. Reporting to the Events Manager, this individual will play a key role in coordinating logistics, managing event data, and ensuring events are executed seamlessly from planning through completion. Key Responsibilities: Coordinate event logistics with venues, hotels, vendors, and internal stakeholders. Track contracts, invoices, payments, key deadlines, and event deliverables. Manage invitations, registrations, RSVPs, cancellations, hotel accommodations, and attendee records. Partner with internal teams to develop, maintain, and update invitation and attendee lists. Upload and maintain event and contact data within DealCloud (CRM). Monitor registration activity and provide regular RSVP and attendance updates to stakeholders. Collaborate with Marketing on invitations, registration pages, event communications, signage, and other branded materials. Coordinate attendee nametags and verify the accuracy of attendee names, titles, and company information. Support all aspects of CriticalPoint-sponsored events, including venue coordination, lodging logistics, attendee communications, agenda management, and onsite execution. Assist with event setup, registration management, and attendee support as needed. Qualifications: Prior experience in event coordination, administrative support, hospitality, marketing operations, or a related field. Exceptional organizational skills and strong attention to detail. Ability to manage multiple priorities and deadlines in a fast-paced environment. Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders. Proficiency with Microsoft Office, including Excel, Outlook, Word, and Teams. Experience with CRM platforms, such as DealCloud, is preferred but not required. Flexibility to provide onsite event support and work additional hours during peak event periods. This is a part-time position with hours that may vary based on the firm's event calendar.
