COORDINATOR / RECRUITING COORDINATOR The Talent Acquisition / Recruiting Coordinator supports full-cycle recruiting operations across multiple states by coordinating hiring activities, managing candidate communications, and maintaining accurate recruiting data. This role partners closely with recruiters, hiring managers, and Human Resources to ensure a positive, professional, and compliant candidate experience. The ideal candidate is bilingual (English/Spanish preferred), highly organized, and experienced in supporting high-volume and multi-state hiring efforts. This role also supports pre-employment processes and new hire onboarding coordination, including facilitating onboarding presentations as assigned. JOB RESPONSIBILITIES: Recruiting Coordination:
- Schedule and coordinate interviews across multiple locations and time zones
- Serve as a primary point of contact for candidates throughout the hiring process
- Manage candidate communications, confirmations, follow-ups, and scheduling changes
- Support a positive, professional, and inclusive candidate experience
- Maintain accurate and timely candidate records within the Applicant Tracking System (ATS) and HRIS
- Track candidate progress through the hiring pipeline and update statuses accordingly
- Assist with generating recruiting reports and dashboards as requested
- Support recruiting activities across multiple states in alignment with established hiring practices
- Assist with background checks, I 9 processing, and pre employment requirements in accordance with federal and state guidelines
- Partner with HR and recruiting leadership to support consistent and compliant hiring workflows
- Communicate with candidates in both English and Spanish, as required
- Translate candidate communications, interview instructions, and onboarding materials as needed
- Support inclusive hiring practices by assisting diverse candidate populations
- Assist with preparing, sending, and tracking offer letters under recruiter or HR leadership direction
- Coordinate pre-employment steps, including background checks, drug screens, and onboarding scheduling
- Monitor pre-hire progress and follow up to support timely completion of requirements
- Schedule and coordinate new hire onboarding sessions across multiple locations or virtually
- Facilitate and present HR onboarding sessions as assigned
- Present key onboarding topics such as company policies, benefits overviews, and HR resources
- Support completion and tracking of onboarding documentation
- Answer routine new-hire questions and escalate complex inquiries appropriately
- Support high-volume hiring initiatives, job fairs, and recruiting events
- Assist with recruiting process improvements and workflow enhancements
- Monitor and manage shared recruiting inboxes and respond to inquiries in a timely manner
- Support special projects and administrative tasks related to talent acquisition
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent work experience
- 1-3 years of experience in recruiting coordination, HR support, or administrative roles
- Experience supporting high volume hiring or multiple locations preferred
- Experience facilitating or presenting onboarding or training sessions preferred
- Bilingual proficiency in English and Spanish
- Ability to Travel 10-20%
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Comfort presenting to groups in both in-person and virtual settings
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with ATS/HRIS platforms and Microsoft Office (Excel, Outlook, Word)
- High attention to detail and commitment to confidentiality
- Experience supporting multi-state recruiting environments
- Familiarity with employment and pre-employment processes across different jurisdictions
- Experience supporting recruiting events or large-scale hiring initiatives
- Primarily office-based with regular interaction with remote and multi-state teams
- May support recruiting efforts across multiple time zones
- Fast-paced, deadline-driven recruiting environment
- Ability to sit, stand, and work at a computer for extended periods
- Occasional lifting of files or materials up to 15 pounds
