This position supports the daily operations of our Colorado Springs office and helps create a professional, welcoming experience for clients and team members. The coordinator will manage scheduling and routine client-service tasks, assist with onboarding and records, prepare materials for advisor meetings, and support office and event needs. The ideal candidate is dependable, organized, discreet, and comfortable learning financial services processes.

 

KEY RESPONSIBILITIES

 

CLIENT & ADVISOR SUPPORT

• Schedule meetings, confirm appointments, resolve routine calendar conflicts, and prepare huddle or review materials.

• Greet clients and visitors, offer refreshments, and provide courteous front-office support.

• Assist with client onboarding, account-opening paperwork, deposits, withdrawals, rollovers, and account-funding follow-up.

• Complete verbal move-money confirmations only when an advisor is unavailable and in accordance with firm procedures.

• Document client correspondence and maintain accurate information in the firm's CRM and electronic files.

 

OFFICE & RECORDS SUPPORT

• Check mail, assist with check deposits, and maintain organized paper and electronic filing systems.

• Scan, copy, name, index, and file documents accurately and within established timelines.

• Maintain office supplies, client refreshments, and a clean, presentable common area; support backup-computer access procedures.

 

CLIENT ENGAGEMENT & EVENTS

• Prepare birthday reports, cards, and approved gifts for clients and employees.

• Add approved contacts to AWeber and assist with routine client communications.

• Coordinate reservations and catering and assist with client and employee events as needed.

 

QUALIFICATIONS

• Administrative or client-service experience preferred.

• Financial-industry knowledge preferred, but not required.

• Proficiency with Microsoft Word, Excel, and Outlook; ability to learn CRM, custodial, and document-management systems.

• Strong attention to detail, organization, follow-through, and professional communication.

• High level of ethics, discretion, and respect for confidential information.

• Proactive, positive, efficient, and comfortable supporting a team.

• High school diploma or equivalent preferred.

 

EMPLOYMENT DETAILS

Schedule: Monday-Thursday, 9:00 AM-2:00 PM (20 hours per week)

Pay: $27.50 per hour

Location: Colorado Springs office; in-person position

Travel: Occasional, minimal travel from Colorado Springs to the Denver Tech Center for meetings and events
